The Studio Receptionist is an integral part of our NYC operations, ensuring a smooth, efficient, and welcoming environment for employees and guests. As the first point of contact, you are responsible for maintaining a highly organized front desk, managing various administrative tasks, and contributing to the positive culture of the office. Success in this role means being proactive and using creative problem-solving to assist with the daily workflow and organization of the space. You will facilitate a positive environment through your friendly and hospitable presence, ensuring a warm welcome for everyone who enters the studio. As a premier brand in luxury hospitality, the Studio Receptionist plays a critical role in bringing the Yabu Pushelberg experience to life, creating a welcoming and memorable first impression for everyone who enters the studio. Responsibilities:Office Operations & Maintenance: • Manage office supplies inventory, placing orders and maintaining stock levels efficiently. Administrative Support: • Act as the primary point of contact for visitors, clients, and vendors, providing a professional and welcoming first impression. • Provide comprehensive administrative support to the founding partners, senior leadership and various departments as needed. Assist with scheduling meetings, preparing meeting rooms, and organizing necessary materials. • Manage incoming and outgoing correspondence, including mail, deliveries, and general inquiries with discretion. • Manage the reception area, ensuring it is tidy and presentable at all times. • Handle incoming calls, visitors and direct them appropriately. • Daily review of the [email protected] inbox and direct queries to the appropriate department • Assist Studio Manager with other tasks as required. Qualifications: • Proven experience in a reception, administrative assistant, or similar client-facing role. • Strong organizational skills with excellent attention to detail. • A welcoming and professional demeanor with outstanding communication skills. Proficiency in Microsoft Office Suite and general office software. • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment. • A proactive approach to problem-solving and a knack for anticipating needs. • High school diploma required; post-secondary education in a relevant field is an asset.
