Description The California Department of Transportation (Caltrans) is seeking to hire a Student Assistant in the Staff Services division. As a valued member of the Caltrans team, you make it possible for the Department to provide a safe and reliable transportation network that serves all people and respects the environment. Under direction of the Resource Manager, a Staff Services Manager I, the Student Assistant, in a learning capacity, will learn and assist with a variety of resource and administration efforts for the Director's Office. This position will perform duties in such areas of front desk reception, ground mail distribution, job aids/desk manuals, office procurement, property control, facilities, safety, and records retention. The incumbent also works with Executive Manager and staff in the Director's Office, Accounting (DOA), Division of Procurement and Contracts (DPAC), Information Technology (IT), and Building Operations (BOC) to contribute towards the department's Mission and Goals. RequirementsConditions of Employment This is a part-time, temporary, non-benefited, student position. Employment in all positions with University Enterprises, Inc. is dependent upon the mutual consent of University Enterprises, Inc. and the employee. Prerequisites Must be a college student attending classes during the regular term (Fall, Spring and Winter, if applicable), at one of the accredited colleges or universities on our affiliation list. Majors/Fields of Study Business Administration, Communication Studies, Psychology, Public Administration, Public Policy & Administration, Sociology Work Schedule Flexible workdays and work hours, Monday - Friday, between 8 AM - 5 PM. The final work schedule will be determined by the supervisor. Hybrid work schedule may be applied. Additional Work Schedule Student Assistant and Graduate Assistant employees generally work up to 24 hours per workweek (Sunday - Saturday) during the academic year and up to 40 hours per workweek during breaks; (winter, spring, summer). Compensation $18.27 - $24.62 per hour Minimum Qualifications
  • Must maintain a minimum cumulative 2.0 GPA.
  • Must complete each term with minimum unit requirements for Undergraduate and Graduate student classifications. Proof will be collected at the end of each Spring and Fall term.
  • The Student Assistant must possess good communication and organization skills, ability to learn basic office equipment and computer programs such as Microsoft Outlook, Word, Excel, PowerPoint, Adobe PDF, WebEx, and Microsoft Teams.
  • The Student Assistant must have the ability to work in a team environment, be open to new and different ideas and opinions, set appropriate boundaries in the creative thinking process.
  • Good judgment, tact, and ability to communicate effectively, must maintain a high level of ethics are expected of the Student Assistant.
  • Maintain proper communication, composure and diplomacy with all staff and management levels, including Executive Management, District and Programs within the Department, public and private agencies, and special transportation interests external to the Department, including Federal and State legislators, staff of the Governor's Office and California State Transportation Agency (CalSTA).
  • Must be able to keep all correspondence and information confidential.

  • Under the amendment to Government Code Section 18220, state agencies shall give preference to a qualified applicant (up to 26 years of age) who is, or has been, a dependent child in foster care, a homeless youth, a formerly incarcerated youth, or a victim of human trafficking.
Duties and Responsibilities
  • In a learning capacity, the Student Assistant will perform day-to-day operations of the Director's Office including office support, front desk reception. Independently reviews incoming mail and analytically determines how correspondence will be assigned and what type of response is needed. Answer public calls, gathers and dispenses public inquiries to District/Program for response while referencing a variety of sources and explain rule and regulations. Maintains administrative files, light rail passes distribution log. Distributes payroll warrant and stipend/travel expense claim check. Updates and maintains various contact lists, templates, and spreadsheets for the directorate. Assist in scheduling, maintenance of conference rooms and phone bridge reservation for various statewide meetings.
  • In a learning capacity, the Student Assistant will assist the Facilities and Security liaison working directly with the Building Operations Center (BOC) on employee access cards, employee ergonomic evaluation requests, furniture re-configurations, emergency evacuation coordination, facility alteration requests, space needs, and moving services. Secures and maintains safety flyer in the office such as evacuation maps, workers compensation injury information and Whistle Blower Act information etc. Maintain and update directorate office's name plate and lobby Directory Panel.
  • Assist the Director's Office Training Coordinator and Learning Management System (LMS) Session Administrator. Tracks and monitors staff compliance with mandatory training (Sexual Harassment, Diversity, Title VI, IT Security Awareness, Strategic Planning, etc.), periodically records training certificates in the Learning Management System (LMS).
  • In a learning capacity, the Student Assistant will assist the analyst responsible for property control in coordinating annual equipment inventory analysis, updating the office inventory spreadsheets, evaluating equipment needs, surveying out surplus inventory, and ensuring the office stays current on statewide property control forms, requirements, and procedures.
  • Assists Procurement Liaison to purchase office supplies, non-IT/IT procurement, works with the Resource Manager to process and monitor office contracts, prepares invoice payments, and to maintain procurement documentation required by the Department of General Services (DGS) and ensure in compliance with DPAC policies.
  • In a learning capacity, the Student Assistant will assist with other team members to set up IT equipment needs, orders office supplies, updates phone directories for new staff and follows up on new employee payroll processes.
  • Supports the Executive Manager, Chief of Staff, Chief Deputy Director, and Director and other duties as needed.
Physical Requirements Sit for extended periods; frequently stand and walk; manual dexterity and hand-eye coordination; corrected hearing and vision to normal range; verbal communication; use of office equipment including computer workstations, telephones, calculators, copiers, printers and scanners with or without a reasonable accommodation. This position requires interaction with many individuals and the ability for employees to work together in a cooperative manner. The Student Assistant may be required to sit for long periods of time using a keyboard and video display terminal. Requires occasional bending, stooping, and kneeling. The incumbent may occasionally take transportation (car, light rail, bike, walk, or other alternatives) to other state facilities for training, performing desk duties and meetings Working Conditions Work is performed in an office environment. The work environment is fast-paced, and requires considerable flexibility in managing time, priorities, and assignments. At times it can be demanding. The Student Assistant will work in a climate-controlled office under artificial lighting and will use a telephone, computer keyboard, mouse and monitor to complete tasks.
