This role is divided into two key areas: planning and daily operations.
- Planning involves calibrating the scheduling program to ensure it is optimized for coverage requirements and business rules. This includes maintaining an active and healthy top-grading process, filling all gaps in the master schedule, and ensuring new hires are assigned to the schedule corresponding to the requisition they were hired against.
- Daily operations focus on managing the working schedule to address near-term coverage issues resulting from day-to-day changes, ensuring seamless and efficient operations.
Duties/ResponsibilitiesPlanning and Optimization
- Ensure all program openings have corresponding requisitions.
- Managing resignations, updating the schedule, and opening requisitions.
- Opening top-grade requisitions and coordinating with operations managers.
Daily Scheduling Operations
- Monitor and adjust the working schedule to address day-to-day coverage gaps.
- Document all updates in relevant systems, including reasons for unassigning staff or changes to the schedule.
New Hire Scheduling and Integration
- Schedule new hires for training, On-the-Job Training (OJT), and placement in the schedule.
- Adjust schedules for existing officers to accommodate new hires, reassigning shifts as needed.
Training Management and Documentation
- Track all training progress and delays, including badges or certification issues.
- Maintain detailed records of contact attempts and outcomes for officers, trainers, or managers.
- Participate in contract-related meetings to provide updates on training and staffing progress.
Compliance and Efficiency
- Ensure adherence to business rules and follow SOPs
- Maintain high schedule efficiency metrics, ensuring weekly targets are met or exceeded.
QualificationsQualifications:
- Professional experience in scheduling or related areas.
- Strong analytical and problem-solving skills.
- Excellent organizational and time management capabilities.
- Proficient in Salesforce or similar scheduling and database systems.
- Strong written and verbal communication skills.
- Ability to work independently while effectively collaborating with teams.
- Adaptability and responsiveness to changing operational needs.
