Job Description :

The Staffing Assistant coordinates all aspects of unit staffing, scheduling, and time & attendance reporting for GSH Clinical Units under the direction of the Staffing Office Supervisor. This includes but is not limited to Coordinating the effort to backfill unplanned absences assign and move staff accordingly by dates, shifts, times & units in order to meet the department and hospital staffing needs. Responsibilities: Maintains confidential employee information and updates nursing scheduling into staffing/ payroll database reporting and documenting all clinical staffs worked hours. Maintains hospital-staffing records by data entry, scanning, filing and storing all required documents to the appropriate repository. Maintains accurate records of one to one observation assignments, overtime (approvals) and other scheduling and time changes. Communicates & reports open and frequent with the hospital staff, supervisors, directors & other department leaders within the hospital. Runs various usage reports for such things as employee absents, vacation time, overtime, orientation time, and holiday time etc. as requested. Supports Staffing Supervisors and Nursing Administration with various clerical duties. Communicates to supervisors and other department leaders regarding insufficient staffing levels to facilitate appropriate backfill of personnel as needed. Under the direction of the staffing office supervisor and or other department leaders, makes calls to appropriate personnel to back fill daily vacancies and unscheduled absences each shift. Performs other duties as assigned. Qualifications/Requirements: Minimum of 2-3 years of secretarial, clerical or office experience. Demonstrates high levels of proficiency in Microsoft Office Applications. Must have the ability to operate a multi line telephone system, fax machine, and scanner. Education: High School Diploma Other: If applicable, the individual performing this job may reasonably anticipate coming into contact with human blood and other potentially infectious materials. Individuals in this position are required to exercise universal precautions, use personal protective equipment and devices, and learn the policies concerning infection control.
