Special Projects Coordinator

The Special Projects Coordinator will support strategic initiatives within the AV Services department. Reporting to the Director of AV Services, this role will focus on project planning, equipment lifecycle management, interdepartmental coordination, and designing technology standards for new and upgraded campus spaces. The Coordinator will serve as a key liaison across departments, assist with Crestron and Extron programming needs, manage technical documentation and communications, and support time-sensitive AV Services deliverables. The ideal candidate will demonstrate strong technical knowledge, attention to detail, and the ability to work independently in a fast-paced environment.

Project Management & Strategic Support
  • Collaborate with the Director of AV Services to plan and execute AV-related projects aligned with departmental goals, particularly those involving new construction spaces and upgrades to existing spaces.
  • Track timelines, monitor deliverables, and communicate project progress to stakeholders.
  • Propose solutions to logistical and technical project challenges proactively and in keeping with the goals of the department and the College.
  • In consultation with the Director and Associate Director, manage the removal and strategic reallocation of AV equipment from spaces undergoing renovation or demolition.
AV System Programming & Integration
  • Assist with minor Crestron and Extron programming tasks, including interface adjustments, configuration updates, and troubleshooting control system issues.
  • Support the testing and deployment of AV control systems to ensure full functionality across instructional and event spaces.
  • Document and communicate system programming changes to relevant stakeholders.
Asset Tracking & Equipment Coordination
  • Maintain and update AV equipment inventories including all relevant technical and device data.
  • Organize, catalog, and assess aging equipment across campus; determine items for reuse, donation, or disposal based on system compatibility and future instructional needs.
  • Assist with infrastructure assessments for classrooms and event spaces to determine technology compatibility and installation feasibility.
Documentation & Communication
  • Draft and edit updates for the AV Services website, internal knowledge base (wiki), and related training materials.
  • Assist with documentation of AV system configurations and operational standards to ensure knowledge continuity during staffing transitions and departmental restructuring.
  • Provide coordination support during periods of high activity (e.g., semester transitions, campus-wide events, construction phases).
Interdepartmental Collaboration
  • Assist and support the Associate Director in liaising between AV Services and campus partners, including Events Management, Special Events, Facilities, BCIT, and Capital Projects, to ensure timely completion of AV-related deliverables.
  • Assist in creating training and materials for faculty and administrative staff using AV-enabled spaces.
Skills, Qualifications & Requirements
  • Bachelor's degree or equivalent combination of education and experience.
  • Minimum of 23 years' experience in technical support, audiovisual services, or event production.
  • Experience working in educational institutions preferred.
  • Proficiency with Google Workspace (especially Google Sheets).
  • Familiarity with a broad range of audiovisual equipment, including legacy systems and current platforms.
  • Hands-on experience with Extron and Crestron control systems; basic programming or configuration knowledge required.
  • CTS (Certified Technology Specialist) certification preferred.
  • Strong written and verbal communication skills.
  • Highly organized with strong analytical and troubleshooting skills.
  • Proven ability to manage competing priorities and communicate effectively under pressure.
  • Exceptional interpersonal skills with a collaborative, solutions-oriented mindset.
  • Ability to perform physical tasks related to AV installation and equipment transport.
  • Flexibility to work nonstandard hours as needed.

This is a 12-month, in-person role that may require occasional evening and weekend hours. Salary Range: $75,000 - $80,000 annually.
