POSITION SUMMARY:
The Special Events Manager will help plan and execute events for staff and guests. They help with logistics including scheduling, ordering supplies, and marketing the events. They will also lead trips beyond Estes Park and work collaboratively with many different departments to help build community at the YMCA. They will communicate, organize, and schedule events for groups. The Special Events Manager will also be trained in all program areas and act as a leader among program staff.

ESSENTIAL FUNCTIONS:
- Communicate with staff and directors to ensure the staff experience is seamless and enjoyable from arrival to departure.
- Manage all logistics, including entering details into software systems, ordering supplies, and creating flyers for events, as well as working with other departments to help execute events.
- Create traditions, facilitate programs, and oversee events like the talent show, holiday celebrations, and community building activities.
- Continually create, plan, and ensure the execution of a wide variety of out-of-the-box activities, cultural events, YMCA sports leagues, and other opportunities for our staff and volunteers from young adults to seniors.
- Oversee group events plus approximately 8 larger guest facing events throughout the year.
- Organize and lead approximately 7-9 events for staff each week.
- Hire, train, and supervise 1-2 seasonal staff to execute events.
- Work varied hours, including nights and weekends.
- Serve as manager in key areas like family programs, adventure activities, crafts, and aquatics, to help supervise in those program areas as needed.
- Manage group registration for programs including online sign up, selection and outfitting of programs, waivers and paperwork required for activity confirmations, and payments.
- Work with Conference and Group Sales for financial accuracy and communication with groups.
- Work with Program Managers to schedule and tailor programs to different groups.
- Create and maintain professional and unbiased relationships with staff and volunteers offering support and guidance at all times.
REQUIREMENTS/QUALIFICATIONS:
- Creative, self-motivated, resourceful, and a team player.Â
- Have good public relations and judgment skills.
- Good organizational skills and ability to complete tasks in a timely and efficient manner.
- Posses enthusiasm for the staff experience and all Program Department offerings.
- Work independently and take initiativeÂ
- Operate in a supportive and professional manner at all times
- Ability to fluently speak, write, and read English
- Be comfortable with technology and administrative duties
- Willingness to assist in other areas if necessary
- Excellent interpersonal skills
- Possess a valid, USA state-issued driverâs license, an acceptable driving record, and comply with YMCA driving rules to be approved to operate YMCA vehicles.
- Be comfortable speaking and presenting in groups of up to 200
- Able to work in a busy, at times high-stress office environment with frequent interruptionsÂÂÂ
