Position Summary:

Develop, plan, and execute events to enhance relationships with Middlebury prospects, donors, and volunteers, utilizing the faculty, students, and facilities of the College. Collaborate with colleagues to define event objectives, design programs, marketing materials, and follow-up strategies to achieve desired outcomes. Responsible for coordinating all event logistics, including catering, venue, transportation, signage, decorations, audio/visual, invitations, programs, and presentation materials. Draft event briefing documents for the President and staff.

Essential Functions:

Earliest anticipated start date is January 3, 2020.

Note: Offer is contingent upon successful completion of a criminal background check.

  • Work collaboratively and accept direction from supervisors.
  • Determine and articulate event objectives and outcomes with colleagues.
  • Manage event timelines and tasks using BaseCamp project management system, making strategic adjustments as needed.
  • Design and produce invitations, save the dates, and other materials in collaboration with the Director of CA Communications.
  • Coordinate all logistics: venues, catering, transportation, signage, decorations, audio/visual, and presentation materials.
  • Engage with alumni and parent hosts regarding event details.
  • Coordinate with speakers on travel and event specifics.
  • Develop and implement plans to thank and recognize hosts, speakers, and volunteers.
  • Create follow-up plans for attendees.
  • Prepare and distribute event briefings to staff, hosts, speakers, and others.

General Responsibilities:

  • Perform other duties as assigned.

Qualifications:

Education: Bachelor's degree.

Knowledge, Skills, and Abilities: Proficiency in desktop applications and relational databases. Highly organized, detail-oriented, able to manage multiple events simultaneously, work well under pressure, maintain confidentiality, and solve problems. Evening and weekend work required; some travel.

Experience: Minimum of 5 years related experience. Fundraising experience preferred. Strong interpersonal skills, diplomacy, and tact required to build relationships with donors, volunteers, and staff.
