Ney Adminitration Building Primary Purpose: To provide clerical and administrative support to ensure accurate maintenance of special education records, compliance with federal and state requirements, and efficient processing of documentation and data related to special education services. Qualifications:Education/Certification:
- High school diploma or GED required
- Some college coursework preferred
Special Knowledge/Skills:
- Knowledge of FERPA, IDEA, and records retention requirements (preferred)
- Proficiency with computer software, including student information systems, word processing, spreadsheets, and databases
- Strong organizational skills and attention to detail
- Ability to maintain confidentiality of student records
- Effective communication and interpersonal skills
Experience:
- Prior experience in school office or records management preferred
- Experience supporting special education programs is a plus
Major Responsibilities and Duties:Records Management and Compliance:
- Establish, maintain, and audit special education student records in accordance with district, state, and federal requirements.
- Prepare and process documentation for ARD/IEP meetings, eligibility determinations, re-evaluations, and other compliance activities.
- Monitor timelines to ensure that evaluations, annual reviews, and other deadlines are met.
- Collect and enter data for state and federal reporting.
Clerical Support:
- Process and maintain accurate files for referrals, consents, evaluations, eligibility documents, IEPs, and related forms.
- Generate and distribute notices, parent communications, and meeting invitations as directed by diagnosticians, case managers, and administrators.
- Assist with preparation of materials and files for ARD/IEP meetings.
- Maintain inventory of forms, supplies, and documentation needed to support compliance.
Communication and Collaboration:
- Respond to requests for records from staff, parents, and authorized agencies in accordance with FERPA and district policy.
- Support campuses by coordinating transfer records and ensuring timely receipt of incoming student information.
- Provide clerical assistance to special education staff as needed.
Other Duties:
- Maintain confidentiality of sensitive information.
- Assist with scanning, archiving, and purging records per records retention guidelines.
- Participate in training and meetings to remain current on compliance requirements.
- Perform other duties as assigned by supervisor.
Working Conditions:
- Mental demands: Ability to prioritize tasks and work with frequent interruptions; maintain composure under deadlines.
- Physical demands: Prolonged sitting, moderate lifting of boxes and records.
