POSITION OVERVIEW
Under the direction of the Director of Operations, the Site Manager oversees the daily operations of a multi-service primary care center in New York City. The Site Manager is responsible for the effective administration, finances, and operations of the health center, including both front-end and back-end functions. This role ensures a patient-centric primary care experience, fosters a safe, trauma-informed environment, and engages staff aligned with the organization's mission and vision. This is a supervisory position.
KEY ESSENTIAL FUNCTIONS
Operations
- Oversee the Assistant Site Manager, who manages Front Desk and support staff at Ramon Velez and the School-Based Health Center (SBHC).
- Manage staff schedules to ensure adequate coverage and seamless operations.
- Collaborate with the Medical Director for clinical oversight of the SBHC.
- Oversee programs such as WIC and other community-targeted initiatives at Ramon Velez.
- Monitor KPIs, analyze trends, and develop action plans for practice improvement.
- Work with the Director of Operations to monitor financial performance, budget, and expenses, projecting revenue and managing variances.
- Optimize patient throughput and cycle times by managing daily operations.
- Ensure accurate billing and timely closing of encounters through daily reconciliation.
- Oversee cash collections and patient billing/accounts receivable.
- Maintain the facility's appearance, conduct regular walk-throughs, and coordinate maintenance.
- Ensure supplies are stocked and par levels maintained.
- Develop and update standard operating procedures, emphasizing continuous improvement.
- Partner with clinical leads to enhance quality measures, population health, and reduce care costs.
- Identify growth opportunities through community partnerships and outreach to underserved populations.
Personnel and Patients
- Recruit, supervise, develop, and evaluate staff performance, excluding physicians.
- Coordinate with HR for staff development plans and handle employee relations issues.
- Maintain employee records and oversee timekeeping and payroll compliance.
- Conduct daily huddles and staff meetings to communicate updates.
- Manage patient satisfaction initiatives, review feedback, and implement improvements.
- Promote a culture of excellent customer service, address complaints, and resolve concerns promptly.
Regulatory & Compliance Oversight
- Ensure compliance with all policies, procedures, and performance metrics, including regular training and assessments.
- Maintain proper records of facility and equipment logs.
- Ensure staff adherence to HIPAA and other regulatory requirements.
- Work with the Compliance Officer to monitor and address compliance issues and deficiencies.
- Develop and maintain compliance infrastructure aligned with agencies such as DOH, HRSA, and Joint Commission.
Other Functions
- Represent the organization at meetings, conferences, and seminars, including Board meetings outside regular hours.
- Perform additional duties as assigned and undertake special projects as needed.
REQUIREMENTS:
- Master's degree in health administration, public health, healthcare management, business administration, public administration, nursing, or equivalent (BA required).
- At least 3 years of progressive management and supervisory experience, preferably in an ambulatory medical setting.
- Minimum of 2 years' experience working in Community Health Centers.
- Exceptional emotional intelligence and interpersonal skills for de-escalation and effective communication.
- Good judgment, confidentiality, and alignment with organizational goals.
- Strong analytical skills, with a focus on data-driven decision-making and performance measurement.
- Proven ability to manage staff to meet/exceed KPIs.
- Excellent communication, organizational, and planning skills.
- Compassionate, trauma-informed approach to patient care.
- Ability to travel across New York City clinic locations.
