Shipping Coordinator – Small Boutique Manufacturer

We are seeking a detail-oriented and proactive Shipping Coordinator to join our small boutique manufacturing team. This role will oversee shipping logistics, order processing, invoicing, and customer service to ensure smooth daily operations and excellent customer satisfaction. The ideal candidate will thrive in a fast-paced environment and play a key role in streamlining shipping processes while maintaining our commitment to exceptional quality and service.

Key Responsibilities:

Shipping & Logistics

  • Coordinate, schedule, and prepare outbound shipments through various carriers, including FedEx and LTL freight services.
  • Generate accurate shipping labels and maintain detailed tracking records for all outgoing orders.
  • Ensure all outbound shipments are correctly packaged and labeled in compliance with customer specifications.
  • Serve as the primary point of contact for carriers, proactively addressing and resolving any shipping issues or delays.

Invoicing & Order Processing

  • Create and send customer invoices promptly, ensuring accuracy and timely delivery.
  • Process sales orders while maintaining proper documentation and adherence to company policies.
  • Keep organized transaction, shipment, and payment records to support smooth operational workflows.

Customer Service

  • Respond promptly and professionally to customer inquiries via phone, email, and in-person interactions.
  • Provide customers with accurate product details, shipping updates, and resolution of any order-related concerns.
  • Maintain a customer-first mindset, ensuring positive experiences and professional communication at all times.
  • Collect customer feedback and escalate recurring concerns to the appropriate department for continuous improvement.

Qualifications and Requirements:

  • Strong organizational skills and attention to detail to manage multiple shipments and tasks effectively.
  • Proficiency in creating shipping labels, managing carrier communications, and tracking shipments.
  • Excellent communication skills, both written and verbal, with a focus on providing professional and courteous customer interactions.
  • Familiarity with invoicing, order processing, and record-keeping systems is a plus.
  • Problem-solving skills to address shipment discrepancies and customer challenges efficiently.
