Job Responsibilities:
Administrative and Programming support for events/programs
Coordinate Director of CES calendar and schedule and other duties as assigned.
Administrative support to the CES staff as requested.
Support execution of Dean's List celebration (fall and spring) and CES graduation events.
Assist in Programming support for AES's Summer Experience (weekend social programs, end of summer banquet, opening weekend, professional development series)
Assist with the program welcome event and graduation dinners for Rochester City Scholars.
Coordinate various program operations as requested (Resource Fairs, Open Houses, Retreats, etc.).
Responsible for the coordination of signature CES events such as Pre-Orientation, Family Meetings, Commencement Farewell Reception, (Professional Development Series, Excursions, and Closing Banquet).
CES Liaison to the divisional Marketing and Communications Team.
Responsible for Center's social media and direct communication to CES students and partners in conjunction with the AES MARCOM team to ensure meeting brand and university guidelines.
Financial Support
Manage purchasing process for Center in support of operating, programming, professional development and AES Summer Experience budgets. Responsible for logistical processing of all financial transactions to include; coordinating requests with internal/external vendors, billing representatives, warehouse managers and shippers.
Maintain and monitor use of the department procurement card; Record all transactions in PNC with appropriate account numbers to ensure compliance with institutional protocols.
Reconcile monthly procurement statement by verifying approved receipts to monthly statement and obtaining necessary signatures for certification.
Develop and maintain protocols and paperwork for the dispersal of the gift funds under the Center (Rochester City Scholars Emergency Fund, General Fund, etc…)
Supervisor/Student Management
Develop student position postings.
Hire, train and manage student employees (approx.4-5 per semester). Create student employee work schedule. Utilize authority to release student employees who are not performing to Center standards.
Manage and Direct students in the development and production of annual CES programs/events. Supervise the completion of projects.
Execute Monthly 1:1s and Semester evaluations with student employees.
Secure file management of Student Employee Records
Perform other duties as assigned or requested.

Associate Degree in a business- related field or equivalent experience.
Two years in a business or higher education setting performing a range of administrative functions that include extensive event planning
The ability to successfully manage a fast paced, dynamic office with demanding needs

Job Summary:
The Senior Staff Assistant for the Center for Engagement and Student Success (CES) serves as the point person in coordinating the Center's main programs and initiatives; offers program support for Divisional premier programs; manages financial transactions; and supervises student employees. This position reports directly to the Director of the Center. In this role, the Senior Staff Assistant will be responsible for the following:
Responsible for the overall daily functions of the Center for Engagement and Student Success including but not limited to administrative office support, management of office operations, documentation of and coordination of processes related to financial transactions, and staff support. This position is supervised by the Director of the Center.
This position works closely with students by supporting CES student services, programming initiatives, and student employee supervision
The Senior Staff Specialist is responsible for providing administrative support to the CES team members along with budget coordination with the CES Director. The senior staff specialist will collaborate with the Financial Director for the Division of Access, Engagement, and Success.
