Position Overview
The Senior Property Manager plays a pivotal role in the operational and financial health of a suburban office portfolio. This role ensures properties are well-maintained, effectively managed, and enhances the customer experience through creative programming, community building, and strategic local partnerships, making the space a preferred destination. It combines operational excellence with fostering a vibrant community atmosphere across our properties.
Key Responsibilities
- Manage the financial performance of assets within the assigned portfolio.
- Research, prepare, and implement annual budgets, including revenue, operating expenses, and capital expenditures.
- Reforecast operating expenses and assist with monthly accruals.
- Supervise and develop department staff.
- Review invoices and process payments to maximize operating income.
- Maintain relationships with customers and owner representatives, implementing building-specific customer relation programs.
- Manage capital improvements and property records, including parking and lease commitments.
- Assist with property acquisitions and dispositions.
- Develop ideas to reduce operating costs.
- Oversee preventative maintenance and vendor contracts.
- Conduct regular property inspections and ensure compliance with policies, codes, and regulations.
- Monitor work orders and assist with customer billing and collections.
- Coordinate customer move-ins and move-outs to promote relations and protect the property.
- Ensure building systems (HVAC, fire/life safety, elevators, security) are functioning properly.
- Review expense variances and assist leasing representatives with customer-related activities.
- Participate in on-call duties and respond to emergencies as needed.
- Distribute and respond to customer surveys, and follow up on punch lists.
- Adhere to OSHA requirements and assist in minimizing insurance costs.
- Support the professional development of property management staff.
Requirements
- Strong organizational, time management, and communication skills.
- Leadership and management experience.
- Interpersonal, detail-oriented, and analytical skills.
- Proficiency in MS Office; knowledge of CPI increases, operating expense gross-ups, utility metering, and preventative maintenance scheduling.
- Certified Property Manager (CPM) or RPA designation preferred.
Physical Demands
- Ability to inspect all property areas, including roof and basement.
- Regularly sit, stand, walk, climb stairs, and drive to properties.
Work Environment
- Must meet physical demands to perform essential job functions, including talking, hearing, seeing, and physical mobility.
- Occasional climbing, bending, and lifting up to 10 pounds.
Education/Experience
- Bachelor's degree or equivalent experience.
- 7-10 years in full-service commercial property management.
- 5-7 years supervising staff.
- Experience with property acquisition, start-up, and capital projects.
