Position Overview:
Americana Worldwide is immediately hiring an in-person Senior Logistics Operations Representative to join our team in Glencoe, IL.
This is a full-time, in-person role based in Glencoe, IL (Metra-accessible location).
We are seeking a detail-oriented and proactive Senior Logistics Operations Representative to join our team. This position is essential in ensuring seamless communication between our customers and operations team, helping manage customer expectations and making sure all aspects of trade show logistics run smoothly. The ideal candidate will have experience in logistics, a strong customer service focus, and a knack for managing complex logistics timelines. Previous experience in the trade show industry is a plus, as you'll be working closely with clients who need precise, on-time delivery of trade show materials and setups.

Key Responsibilities:
Client Communication & Updates:
- Serve as the primary point of contact for clients, ensuring timely responses to inquiries and providing updates on shipment progress, delays, or delivery changes.
- Maintain consistent, professional communication to support customer satisfaction and retention.
Order Entry & Coordination:
- Accurately input and manage customer orders, including all essential shipment details (e.g., booth numbers, show deadlines, venue-specific rules).
- Mistakes in order entry can have significant impacts, so attention to detail is paramount.
- Collaborate with the operations team to plan and execute shipments according to customer requirements.
- As trade show deadlines are often tight, you will be responsible for coordinating between all teams to ensure on-time delivery, setup, and breakdown of materials.
Tracking, Tracing, & Shipment Oversight:
- Coordinate, track, and schedule shipments to and from trade show venues and warehouse facilities.
- Provide clients with real-time tracking, delivery confirmations, and proactive updates.
- Promptly address any delays or delivery concerns, especially in time-sensitive trade show environments.
Invoicing & Accounting Support:
- Assist with the billing process by verifying charges, resolving discrepancies, and working with accounting to maintain financial accuracy.
System Management & Documentation
- Maintain accurate, up-to-date information in the Salesforce TMS and other company documents, including shipment statuses, carrier profiles, rates, and tracking info.
- Document all communication, issue resolutions, and shipment updates to ensure internal transparency and compliance.
Problem Resolution:
- Identify and troubleshoot problems related to damaged goods, delayed shipments, or venue-related constraints.
- Escalate complex issues to management with appropriate documentation and suggested solutions.
Customer Service & Relationship Building:
- Provide exceptional customer service by anticipating client needs, addressing any issues, and ensuring that customers feel supported and valued throughout the logistics process.
- Develop long-term client relationships by providing customized, proactive solutions that meet the unique demands of trade show logistics.
Trade Show Expertise (Preferred, but not required):
- Cultivate a strong understanding of the trade show industry nuances in this highly specialized logistics field to effectively support time-sensitive and complex trade show shipments.
- Quickly gain a solid understanding of the trade show logistics industry by actively learning and adapting in a fast-paced environment.
- Demonstrate the ability to get up to speed rapidly while continuing to build deep expertise over time through ongoing research, hands-on experience, and a commitment to continuous improvement.

Qualifications:
Education:
- Bachelor's degree in business, logistics, or related field.
Experience:
- Minimum of 1-2 years of experience in logistics as a carrier sales, operations, or customer representative position.
- Trade show experience is a plus — particularly familiarity with trade show schedules, material handling, and the unique challenges of transporting and delivering materials to events.
- Experience in the 3PL or freight industry is also highly valuable.
Skills:
- Strong organizational skills with a keen eye for detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple projects and priorities in a fast-paced environment.
- Problem-solving abilities with a proactive approach to resolving issues.
- Familiarity with logistics and freight operations, particularly in the context of trade show or event logistics.
- Proficiency with Salesforce and Microsoft Office Suite; experience with logistics or TMS (Transportation Management Systems) software is a plus.
