Work Shifts 8:00 A.M - 4:00 P.M Duties & Responsibilities Purpose: Under direction of Chief Executive Officer and/or Chief of Staff, serves as Senior Executive Secretary for Chief Executive Officer and Chief of Staff with considerable latitude of initiative and judgment. Performs highly confidential and exceptionally difficult, complex and responsible secretarial work. Conducts self in a professional manner consistent with the expectations of C-Suite members. May perform designated administrative assignments and serve as a confidential aide. Responsibilities:
Manages executive communications, including ensuring all correspondence is handled in a timely manner. Plans, coordinates, and oversees high-level meetings, conferences, and events. Takes and distributes minutes of proceedings, prepares comprehensive agendas, assembles materials, engages necessary technological tools and makes all necessary meeting arrangements to ensure effective and efficient flow. Screens and determines priorities of telephone calls, messages, and incoming materials and routes to appropriate personnel and/or departments. Prepares and/or edits correspondence and confidential reports. Maintains and manages all confidential files and records. Develops and implements efficient filing systems and ensures the security of sensitive information. Provides administrative support by relieving the health care executive of complex administrative duties. Demonstrates comprehensive knowledge of NYC Health + Hospitals' policies, practices, and procedures. May supervise administrative/clerical personnel assigned to the executive office. Plans and reviews work assigned. Serves as key liaison between senior leadership support staff within NYC Health + Hospitals and external stakeholders. Manages sensitive professional relationships and facilitates effective communication. Event co-planner for all executive office involved event and activities. Participates in training programs to acquire knowledge of hospital operations. Manages calendar of conference and other meeting spaces. All duties must be carried out with accuracy and efficiency. Performs related work, as assigned. Minimum Qualifications 1. a. High school diploma or educational equivalent; and five (5) years of clerical experience including two (2) years as a stenographic secretary; or, b. A baccalaureate degree from an accredited college or university, and one (1) year of experience as a stenographic secretary; or, c. An associate degree with specialization in Secretarial Science and three (3) years of clerical experience, one year of which shall have been as a stenographic secretary. 2. The ability to take dictation accurately, rapidly and to transcribe. Ability to exercise discretion and diplomacy in all internal and external contact relationships and to exercise initiative in the preparation of routine correspondence, in handling administrative details, and to maintain confidentiality of all executive and health care system matters. 3. High level verbal, written, and secretarial skills and knowledge required; or, 4. A satisfactory combination of education, training, and experience.
