Ability to perform mathematical calculations (add, subtract, multiply, and divide) with whole numbers, fractions, and decimals. 4. Proficiency in utilizing Internet resources for research and collecting information on procedures and documents from other districts or organizations. 6. Proficient understanding or functional knowledge of Microsoft Office (O365). Google suite. AI language models, including but not limited to: MS Copilot, Google Gemini, ChatGPT, etc. 7. Experience with or ability to learn collaborative platforms such as Microsoft Teams or Google Workspace. Experience with enterprise resource planning (ERP) systems is highly desirable. 8. Strong organizational and time management skills with a high degree of attention to detail. 9. Excellent verbal and written communication skills and a professional demeanor. 10. Consistent record of satisfactory work performance. 11. Satisfactory criminal and child abuse clearances (Acts 34, 114, and 151). 12. Ability to perform each essential duty satisfactorily. Summary Supports the designated administrator by performing responsibilities that include, but are not limited to answering and screening phone calls; coordinating staff schedules and appointments; filing and maintaining correspondence; assisting with the management of budget, grant and/or programs and coordinating varied aspects of the office through the duties listed below. Essential Duties and Responsibilities: 1. Manages incoming and outgoing correspondence, both physical and digital. Reviews, prioritizes, and routes mail, and attaches appropriate files or documents for supervisor's attention. 2. Maintains accurate and confidential records and databases in compliance with local, state, and/or federal requirements. 3. Organizes and maintains digital and physical file systems, ensuring correspondence and other records are easily accessible. 4. Assists with tracking and maintaining budgets, generating invoices, and processing purchase requisitions as needed. 5. Retrieves, enters, and generates reports from enterprise-level systems, including Human Resource, Financial Management, and/or Student Information Systems. 6. Composes, proofreads, and edits professional correspondence, emails, and reports. 7. Serves as a primary point of contact and professional liaison, communicating with a variety of partners such as parents, vendors/contractors, foundation staff, and external partners via in-person, phone, and virtual channels. 8. Answers and screens the supervisor's telephone calls and arranges virtual or traditional conference calls. 9. Manages the supervisor's calendar and coordinates appointments using a digital scheduling system. 10. Greets scheduled visitors in a professional manner and directs them to the appropriate area or person. 11. Coordinates and arranges travel logistics, including reservations for transportation and lodging. 12. Performs a wide range of secretarial and administrative duties as assigned by the supervisor. 13. Conducts research, compiles data, and prepares statistical reports and presentations as required. 14. Coordinates and arranges meetings, including virtual meetings via video conferencing platforms (e.g., Microsoft Teams, Zoom). Prepares meeting agendas, reserves and prepares facilities, and records or transcribes minutes of meetings. 15. Prepares outgoing mail and correspondence, including bulk mailings, faxes, and email communications. 16. Orders and maintains office supplies and arranges for equipment maintenance and repairs. 17. IT Help Desk support, including: Creating Workorder/Tickets, resetting passwords, setting up Virtual meeting and conferences. 18.
