To create and maintain the working schedules for both nurses and aides and review schedule detail for department accuracy. This role also includes the ongoing management of Members medical records, long-term care insurance and supplies for Prairieview. Principle Duties:
  • Create and maintain the staffing schedules for both Nurses and Aides.
  • Orients new Team Members to the use and applications of Paycom.
  • Reviews punch detail reports daily and compare accuracy against the schedule.
  • Participates in rotation for scheduling/call-ins; including evenings and weekends.
  • Reviews tardiness on punch detail audits and document in attendance book.
  • Manage continued authorization process for those on managed care.
  • Collect and submit LTC insurance requests.
  • Prepare purchase request for nursing supplies that need to be reordered for Administrator approval.
  • Order nursing supplies as approved by the Assistant Administrator or Administrator
  • Stock Skilled Nursing supply room weekly.
  • Prepare new admission Skilled rooms and name tags.
Medical Records Duties
  • Keep all nursing units stocked with required nursing forms.
  • Close Skilled, Assisted and Memory charts.
  • May assist in taking picture of all new admissions and input into PCC.
  • Review all discharged charts and flag areas needing physician signatures.
  • Obtain physician signatures on identified forms (by mail or fax.)
  • Assemble discharged charts and place in the order listed on the Medical Records Discharge Deficiency Check List.
  • Ensure Admission & Social Services Coordinator completes discharge summary.
  • Ensure RN has completed a discharge plan of care.
  • File discharged chart in the Medical Records Office after approved by the Administrator.
  • Thin AL/ME/SNF records quarterly per guidelines established in Medical Record Policies.
  • File and manage signed telephone orders, lab reports, and etc. daily in Member charts.
  • Audit Skilled Nursing charts monthly to ensure physician signatures have been obtained on all Physician Order Sheets (POS.)
  • File copies of monthly fee increase letters for Members in Assisted Living, Memory Care and Skilled Nursing
Performance Standards:
  • Follows established standards of excellence for The Garlands and implements facility policies and procedures.
  • Identifies safety hazards and initiates corrective action.
  • Reports any possible cases of Abuse immediately to the Administrator/Director of Nursing.
  • Follows Abuse allegation protocol as directed by Administrator.
  • Provides respect, privacy and dignity to all Prairieview members.
  • Investigates all door alarms immediately.
  • Performs all duties as assigned in an effective, cooperative, professional and timely manner.
  • Comes to work as scheduled and consistently demonstrates dependability and punctuality.
  • Dresses in professional attire that represents The Garlands standard of excellence.
  • Demonstrates excellent listening and communicates effectively with patience and understanding.
  • Writes clearly and concisely.
  • Maintains confidentiality
  • Demonstrates knowledge of The Garlands entire facility and directs potential members appropriately according to their needs.
Knowledge, Skills and Abilities:
  • Experience working in acute and or long-term care environment
  • Certified Nursing Assistant Preferred
  • Must have adequate understanding of English language, speak and be able to write.
  • Must be able to work independently, as well as a team member.
  • Is flexible and adapts to change and new tasks as needed.
  • Follows all policies of Prairieview at The Garlands.
  • Must be familiar with Residents Rights, Abuse Prevention and Reporting.
  • Customer service oriented, able to display compassion, patience, and understanding.
  • Be willing to do whatever it takes to provide the highest level of service.
  • Must be able to responsible quickly and appropriately to an emergency situation.
Physical Requirements:
  • Must be able to manually lift and carry up to 50 lbs.
  • Must be able to tolerate long periods of walking, bending and standing.
