We are seeking a detail-oriented and experienced Office Services Associate to join our team, supporting reprographics and scanning functions at a prestigious corporate legal firm. The ideal candidate will have a strong background in copy/reprographics services, with a focus on document preparation, scanning, and quality control. The role requires excellent organizational skills, accuracy, and the ability to manage high-volume projects in a fast-paced legal environment. Pay Range: $21-$23/hr. Key Responsibilities:
- Prepare documents for scanning by removing staples, binder clips, and other bindings, as well as inserting slip sheets as necessary.
- Operate high-speed scanning equipment to batch scan large volumes of documents.
- Utilize Optical Character Recognition (OCR) software to ensure the accuracy and searchability of scanned documents.
- Perform data entry for scanned files, ensuring all necessary information is captured and accurately recorded.
- Conduct quality control checks to ensure that all scanned documents meet required standards for accuracy and clarity.
- Support batch printing, copying, and document management tasks as needed.
- Collaborate with legal teams to ensure timely and accurate delivery of scanned documents and files.
- Maintain organization and filing systems for digital and physical documents.
- Follow established protocols for handling confidential legal documents, ensuring compliance with client standards and privacy policies.
Qualifications:
- 2+ years of experience in copy/reprographics services, with a focus on scanning and document preparation.
- Familiarity with scanning processes, batch printing, and OCR software.
- Experience in prepping documents for scanning (removing staples, binder clips, organizing pages, etc.).
- Strong attention to detail with a commitment to accuracy and quality control.
- Proficiency in data entry and maintaining digital filing systems.
- Previous experience in a corporate or legal environment is preferred.
- Ability to manage multiple tasks and meet deadlines in a fast-paced, high-volume setting.
- Strong communication skills and the ability to work effectively with legal teams and office personnel.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic familiarity with reprographics/scanning software.
