SUMMARY Responsible for providing administrative and guest service support to the General Manager, or their designee(s), operational departments as assigned, and visiting corporate staff. ESSENTIAL JOB DUTIES AND RESPONSIBILITIES
Compose and type correspondence, reports and miscellaneous paperwork, prepare outgoing mail, file correspondence and other departmental records and reports. Respond to routine inquiries by mail. Maintain the highest level of confidentiality and professionalism within the department. Interface with all levels of casino employees, as well as outside agencies and guests, in a courteous, appropriate manner. Respond to guest complaints and/or inquiries promptly and politely, with input from originating department heads. Assist with arrangements for special functions on or off property. Schedule appointments for the General Manager and directors of operational departments as needed. Advise Operations Committee of meetings, then attend same, recording the minutes, and later typing and distributing the meeting minutes. Answer telephone and give information to callers, or route call to appropriate individual, place out-going calls. Greet visitors, ascertain nature of business, and escort visitors to the office of the General Manager. Open and screen incoming mail for the General Manager. Speak with persons requesting donations or contributions, advise them of policy in this regard and refer issues to the appropriate person for consideration. Act as a resource regarding departmental activities and operations for the General Manager. Maintain a working knowledge of the facilities, as well as current and upcoming special events on property, in order to advise guests, management, and fellow employees of same, whenever possible. Produce weekly informational documents for staff and leadership on weekly/monthly activities. All other duties as assigned. REPORTING LINE In the organizational chart, the Executive Assistant directly reports to the General Manager. QUALIFICATION REQUIREMENTS
- Must have excellent communication skills, be polite, and present a neat appearance at all times
- Must possess poise, tact, and diplomacy
- The ability to work with others as a team in an efficient manner
- Strong interpersonal and organizational skills required
- Proven experience providing high level of guest service
- Computer literate in Microsoft Excel and Word or related software
- The ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals
- The ability to read, analyze, and interpret documents, such as policy and procedure manuals, maintenance instructions, and other related documents
- The ability to write effective reports and memos
- The availability to work all shifts
- The ability to verify the right to work in the United States
- Demonstrates an ability to remain independent and professional while enforcing company policies
- Demonstrates experience with time management, working independently with minimal guidance
- Demonstrates experience in problem-solving and reporting
- Demonstrates an ability to meet deadlines and work under pressure
- Must be at least 21 years of age
- Must be able to pass a background investigation and obtain and maintain all work cards as required by the company, including gaming license through MLGCA
EDUCATIONAL AND/OR EXPERIENCE Bachelor's degree from a four-year college or university preferred. Three to five years of strong administrative experience required. PHYSICAL DEMANDS Ability to stand, walk, and move throughout the property for prolonged periods of time. Ability to push, pull, bend, reach, squat, kneel, crawl, twist, sit, climb, balance, carry and lift to 25 lbs. Constant use of hearing, speech, vision (including close vision, distance vision, color vision, peripheral vision, and depth perception), radios, and tools or equipment requiring a high degree of dexterity.
