For over 125 years, Catholic Charities Brooklyn and Queens has been providing quality social services to the neighborhoods of Brooklyn and Queens, and currently offers 160-plus programs and services for children, youth, adults, seniors, and those struggling with mental illness.Our program helps individuals and families move beyond emergencies to more stable and stronger home lives. COS encompasses the following three components.
- Health and Wellness Services engages the community in interactive health and wellness workshops, support groups, events and resource fairs that cover daily needs including healthy living, COVID 19 and parenting.
- Community Outreach Centers (formerly walk in center). Our Outreach Specialists assess the individuals needs and respond with information, resources, and limited financial assistance.
- Food Resource Services operates a network of 20 food pantries (in partnership with parishes in the Diocese of Brooklyn). Our network helps distribute more than 3 million meals to 300,000 people. Meals include shelf stable items, dairy, meats and fresh produce. STATEMENT OF THE JOB:The Resource Assistant will provide general management of office and related bookkeeping, overseeing of all program's billing systems; oversee clerical/secretarial staff; overall management of physical plant; assesses and coordinates maintenance of premises and equipment; provides information to Community Outreach Manager for budget expense decisions; responsibilities producing procedures. The Resource Assistant is responsible for the overall support functions for the program.
- Maintain office operations, equipment, and supplies
- Organize files, documents, and record-keeping systems
- Handle front desk coverage, phone calls, and correspondence
- Set up meeting spaces and provide general office support
- Manage accounts payable/receivable and petty cash
- Process payments, track expenses, and maintain budget reports
- Prepare financial documents and assist with audits
- Monitor program budgets and submit required financial reports
- Oversee timesheets, payroll, and personnel records
- Submit incident reports and maintain compliance documentation
- Participate in meetings, trainings, and agency requirements
- Maintain program databases and assist participants
- Support special projects and client activities
- Perform additional duties as assigned by management
- Performs other related duties as requested or assigned.
QUALIFICATIONS:
- High School Diploma
- Two years Business experience including office management, word processing, data entry and basic accounting required.
- Ability to prioritize and multitask, offer feedback, and constructive criticism required.
- Bilingual English/Arabic, English/Cantonese/Mandarin, English/Spanish, and/or English/ Russian preferred
- Must be able to Frequently lifts and/or moves up to 25 pounds.
- Able to travel to multiple locations within the five boroughs as needed.
