Job Title: Payroll & Benefits SpecialistReports To: Director of Human ResourcesFLSA Status: Full Time, Non-Exempt

Location: Remote, with occasional travel. Residence along the Front Range is preferred. Must live in Colorado.

Wage: $65,000-$75,000 annually

Job Summary:The Payroll & Benefits Specialist is responsible for ensuring the accurate and timely processing of payroll and benefits administration for all employees. This role maintains compliance with federal, state, and local laws and serves as the primary point of contact for employee payroll and benefit inquiries. The Specialist plays a key role in supporting HRIS accuracy, benefit enrollments, and payroll reconciliations.Essential Duties and Responsibilities:Payroll Administration (Approximately 60%)
  • Process biweekly and monthly payroll, including data entry of new hires, terminations, changes to pay rates, bonuses, retroactive adjustments, prorations and other compensation.
  • Maintain accurate employee time records and validate timekeeping entries.
  • Ensure proper calculation and remittance of all payroll deductions including taxes, garnishments, benefits, and voluntary deductions.
  • Reconcile payroll transactions with the general ledger and monthly bank statements.
  • Maintain and audit payroll records in compliance with applicable wage and hour laws.
  • Assist with payroll tax filings and year-end reporting (W-2s, etc.).
  • Respond to employee inquiries regarding payroll discrepancies, direct deposits, and check reissues.
  • Ensure bank transfers to cover payroll are completed by clients and there are sufficient funds in accounts to cover payroll
Benefits Administration (Approximately 30%)
  • Coordinate benefit enrollments, terminations, and qualifying life event changes in the HRIS.
  • Assist with Open Enrollment for each of our partners
  • Assist with New Hire Orientation
  • Assist with ACA reporting compliance within HRIS.
  • Serve as a resource for employees regarding plan provisions, eligibility, coverage, and claims resolution.
  • Generate and maintain reports related to benefits eligibility, enrollment, and billing.
  • Coordinate with finance team on any benefit changes and leaves of absences to ensure accuracy of charge backs to partner locations
Compliance and Support (Approximately 10%)
  • Ensure compliance with federal, state, and local regulations related to payroll and benefits (e.g., FLSA, IRS, HIPAA, ERISA, ACA).
  • Assist with audits (payroll, benefits, workers' comp, etc.) by preparing documentation and responding to auditor requests.
  • Recommend and implement process improvements to enhance payroll and benefits operations.
  • Maintain confidential personnel and benefits files in accordance with organizational policies and legal requirements.
Required Skills/Abilities:
  • Strong knowledge of payroll processing, wage and hour laws, and payroll tax regulations.
  • Working knowledge of employee benefits programs and applicable laws (ACA, ERISA, HIPAA, COBRA, FMLA).
  • Proficiency in Microsoft Office Suite, especially Excel; experience with HRIS and payroll systems preferred.
  • Excellent organizational skills and attention to detail.
  • Ability to maintain confidentiality and handle sensitive information with integrity.
  • Strong communication and interpersonal skills, with the ability to explain complex information clearly.
Education and Experience:Required:
  • Associate's degree in Accounting, Business, Human Resources, or related field; equivalent work experience may be substituted.
  • At least 2-3 years of experience in payroll processing and/or benefits administration.
Preferred:
  • Bachelor's degree in Accounting, Human Resources, or related field.
  • Experience with iSolved HRIS.
  • Experience working in education/school role.
  • SHRM-CP or similar HR/payroll certification.
Physical Requirements:
  • Prolonged periods of sitting at a desk and working on a computer.
