Job Summary The Rehab Office Specialist is a non-licensed team member responsible for the administrative and clerical support of the Rehab Department. This includes registering and scheduling patients, managing referrals, verifying insurance, preparing billing information, and ensuring patients have a seamless experience from check-in to follow-up. This position supports Physical Therapy, Occupational Therapy, Speech Therapy, and Cardiac Rehab and requires flexibility to occasionally adjust hours to cover vacation or sick time. Key Duties & ResponsibilitiesFront Desk & Patient Interaction:
- Greet and register incoming patients.
- Verify demographic, insurance, and clinical information.
- Ensure appropriate documentation and collect co-pays.
- Communicate patient arrival to therapists via electronic check-in.
Scheduling & Referral Management:
- Record new referrals and input patient data into Cerner and WebPT.
- Schedule therapy sessions and non-nuclear stress tests.
- Maintain accurate documentation of cancellations, no-shows, and changes.
- Communicate effectively with referring providers' offices.
Insurance & Billing Support:
- Verify insurance and authorization requirements.
- Track authorized visits, Medicare caps, and Medicaid eligibility.
- Assist with billing, charge entry, and revenue cycle processes.
- Collaborate with therapists and the Revenue Cycle Team on claims and denials.
General Office Support:
- Maintain office supplies and assist with correspondence.
- Participate in department meetings and training.
- Serve as a super user for department systems and provide peer support as needed.
