Rural Psychiatry Associates is seeking a highly organized and experienced individual to serve as the Registration and Scheduling Manager. This position is responsible for leading the teams that manage patient registration and scheduling across our multi-state mental health practice. The ideal candidate will have strong leadership skills, attention to detail, and a commitment to operational excellence and patient access. Essential Responsibilities:
- Supervise and support registration and scheduling staff, ensuring accurate data entry, timely appointment coordination, and exceptional service
- Oversee the daily operations of patient scheduling and registration functions across all service lines
- Ensure compliance with organizational policies, HIPAA regulations, and industry best practices
- Collaborate with clinical and administrative leaders to optimize workflows and improve patient access
- Monitor scheduling metrics and registration accuracy, identifying trends and implementing process improvements
- Lead performance management activities including hiring, training, coaching, and evaluations
- Support system-wide initiatives related to access, capacity planning, and efficiency improvements
- Maintain knowledge of telehealth workflows and scheduling requirements across multiple states
Qualifications:
- Bachelor's degree in Healthcare Administration, Business, or related field required;
- Minimum of 3 years of experience in healthcare scheduling, registration, or clinic operations, is highly desired
- Minimum of 3 years of supervisory or management experience
- Consistently leads by example with a strong understanding of clinical operations, patient access processes, and healthcare compliance standards
- Strong understanding of HIPAA and patient confidentiality standards
- Excellent communication, organizational, and problem-solving skills
- Demonstrated ability to lead teams, manage competing priorities, and meet performance goals
- Proficient in electronic health records (EHR), medical systems, and general office software.
