Records Manager

If you like to work independently and exercise judgment in office specialties and perform complex tasks, then this job is for you! The Department of Public Safety, Bureau of EMS is looking for a Records Manager to provide clerical and administrative support located at the EMS offices located in the Department of Public Safety Headquarters in Taylorsville.

Principle Duties

  • Providing office support at the Bureau of EMS
  • Specialized office skills plus comprehensive knowledge of pertinent rules, regulations, polices and procedures
  • Dealing with staff and public exchanges requiring thoughtful communication and positive interpersonal skills
  • Processing a variety of agency documents some of which are confidential by reviewing for accuracy and completeness, updating information, and evaluating against policy
  • Providing the public and others with information and assistance as needed
  • Maintaining and creating files or record-keeping systems
  • Sorting, labeling, filing, and retrieving documents, or other materials
  • Supporting agency staff with administrative tasks such as travel arrangements, travel reimbursements, group gathering requests, meeting arrangements, meeting agendas meeting recording and minutes
  • Submitting travel reimbursements for committee members needing reimbursement
  • Providing administrative assistance for events and event coordination
  • Processing GRAMA requests as Point of Contact for GRAMA
  • Receiving, researching, and responding to incoming questions
  • Providing information, explaining policy and procedures, and facilitating a resolution
  • Writing/originating correspondence, documentation, and other written communication
  • Process payments for staff and files timely financial paperwork as required
  • Support EMS during high demands by processing criminal background check for EMS applicants
  • Assist with other tasks as assigned

Qualifications

  • Professional customer service skills
  • Great communication skills
  • Computer skills with Word, Excel, Google Suite etc.
  • Ability to deal with people in a manner which shows sensitivity, tact, and professionalism
