RECEPTIONIST Job Title: RECEPTIONIST - FIRE BFD 2.29 Date Prepared: 7/2020 Department/Location: Bradenton Fire Department FLSA Status: Non-exempt Bargaining Unit: N/A Classification: Essential Schedule: 40-hour/week Environmental Conditions: Indoor / Office Supervision Exercised: None Supervision Received: Program Administrator General Purpose of the Position: The purpose of this position is to provide prompt and courteous assistance to walk-in visitors and callers, along with advanced secretarial work. The position of receptionist is an appointed position by the fire chief. Essential Duties and Responsibilities: •Receive telephone and personal callers at the reception desk. •Receive and distribute incoming mail and other deliveries. •Handle routine matters and answer routine inquiries independently, on the basis of a general knowledge of the program and operations, under the supervisor's direction. •Route technical or controversial matters to the proper person or division. •Compose professional emails, letters, and memoranda utilizing information provided and/or obtained via records and/or research, requiring independent action and discretion. •Process documents requiring various procedural knowledge, maintain files, preparing various forms, review documents for accuracy, obtaining necessary signatures, routing appropriately and maintaining follow-up. •Procure office supplies, equipment, maintenance service, etc. •Schedule meetings and update multiple Outlook calendars as appropriate. •Assist in the new hire paperwork processing. •Assist the Training Division with management of department educational materials. •Report to the program administrator, and assist the administrative staff and executive staff as needed. •Refer to BFD 2.0 Requirements and Responsibilities for all Personnel Skills Required: •Ability to receive the public with considerable poise, tact, patience, and courtesy. •Proficiency in the use of business English, spelling, punctuation, and arithmetic for the composition of business emails, letters, and other documents. •Ability to assume duties assigned by his/her superior. •Ability to learn and adhere to City and departmental rules, regulations, guidelines, and procedures. Equipment Used and Computer Equipment/Software Requirements: Multi-line phones; personal computers; standard office equipment, including but not limited to printers, copiers, scanners, and fax; computer software, including Microsoft Word, Excel, Publisher, PowerPoint, and Outlook with the ability to learn new software applications which may include FIREHOUSE, Munis, PowerDMS, and Adobe Acrobat. Education and Experience Required: High school diploma or GED equivalent. Three (3) years of experience in secretarial and clerical work. Must possess the FEMA NIMS certifications I-100 and IS-700 within the first week of employment. A comparable amount of training or experience may be substituted for the minimum qualifications. Minimum requirement for maintaining the position of receptionist is the annual completion of eight (8) hours of continuing education related to the position, as offered through the City. Preferred: Associate's Degree in Business Administration and/or related professional certification. Commercial Driver License (CDL): A Commercial Driver License (CDL) is not required for this position.
