Receptionist Position
We are looking for a detail-oriented and organized Receptionist to join our team in Port Washington, New York. This is a contract to permanent position where you will play a key role in maintaining smooth office operations and providing excellent service to visitors and team members. The ideal candidate will have strong multitasking skills and a welcoming demeanor.
Responsibilities:
- Receive and distribute daily mail and packages, ensuring all deliveries are logged appropriately.
- Sort and organize accounts payable tickets, forwarding them to the accounting department for processing.
- Maintain accurate filing systems for processed documents.
- Greet and direct visitors, managing an appointment-based schedule with low foot traffic.
- Monitor and order office supplies for various departments, keeping inventory up to date.
- Coordinate monthly birthday breakfast events, including kitchen setup and decorations.
- Answer inbound calls through a multi-line phone system, ensuring prompt and detail-oriented communication.
- Assist with general receptionist duties to support the smooth operation of the office.
Requirements:
- Minimum of 3 years of experience in a receptionist or administrative role.
- Proficiency in managing multi-line phone systems and switchboards with 1-10 lines.
- Strong organizational skills with the ability to handle mail, deliveries, and filing tasks efficiently.
- Excellent communication skills, both verbal and written, to interact with visitors and staff.
- Ability to prioritize and multitask in a dynamic office environment.
- Experience ordering office supplies and maintaining inventory records.
- Friendly and approachable demeanor to create a welcoming environment for guests.
- Familiarity with coordinating small office events is a plus.
