Job Summary Greet and receive clients, partners, visitors, and the general public, both personally in the reception area and over the telephone. Assist clients with their requests; announce clients and visitors to the appropriate staff; transfer telephone calls to staff and/or voicemail as directed. Key Responsibilities
  • Answer and Direct Calls: Professionally manage incoming telephone calls, ensuring they are promptly directed to the appropriate staff member or program.
  • Welcome Clients and Visitors: Greet all clients and visitors warmly, assist them in locating the correct staff member or program, and provide exceptional customer service at all times.
  • Foster Positive Interactions: Maintain a positive and professional demeanor when interacting with clients, visitors, and staff, consistently representing the Agency's values and mission.
  • Cultural Sensitivity: Demonstrate respect and sensitivity to the cultural and linguistic differences of clients, visitors, and colleagues.
  • Manage Mail and Packages: Receive, sort, and distribute incoming mail and packages (e.g., U.S. Mail, UPS) to the appropriate staff or department on the same day.
  • Distribute Transportation Resources: Administer bus passes and ensure accurate tracking or record-keeping as needed.
  • Assist Clients with Forms: Provide support to clients in completing service request forms and other relevant paperwork.
  • Reception and Administrative Support: Serve as backup for other reception or administrative duties across the agency as needed, ensuring smooth daily operations.
  • Other Duties as Assigned: Undertake additional tasks as directed to support the agency's mission and operations.
Qualifications
  • Education: High school education
  • Experience:
    • Comfort and proficiency with operating a multi-line phone system
    • Strong organizational skills and the ability to handle multiple tasks simultaneously
    • A friendly, approachable demeanor with a commitment to exceptional customer service
    • Basic proficiency in Microsoft Office Suite (Word, Excel, Outlook) or similar software
    • Experience working in a multicultural or nonprofit environment
    • Ability to speak a second language is a plus, but not required
    • Strong problem-solving skills and attention to detail

Work Environment & Physical Demands
  • This position is on-site and may not be eligible for remote work
  • Attendance at occasional meetings or events outside regular business hours is required
  • The role involves working with sensitive or potentially traumatic information and direct interaction with individuals or families in crisis
  • Physical requirements include frequent use of hands for handling objects, tools, or controls; talking, bending, squatting, twisting, climbing, kneeling, reaching, and occasionally lifting or carrying up to 30 pounds
  • Vision requirements include close-up work, distance vision, and the ability to adjust focus
  • The work environment may involve varying degrees of physical discomfort and occasional loud noise
