Job Description :
Position Summary (Part-Time) The Receptionist will be responsible for answering incoming calls, directing calls to appropriate associates, mail distribution, flow of correspondence, as well as additional clerical duties. The Receptionist will serve visitors by greeting, welcoming, and directing them appropriately; notifying company personnel of visitor arrival; maintaining security and telecommunications system. The Receptionist also assists conference services by assisting clients with their event needs and directing clients appropriately. The ideal candidate will have the ability to make visitors feel welcome and comfortable, creating an excellent guest experience at the Lod Cook Alumni Center. The Receptionist often serves as the face of the alumni center for visiting guests. Essential functions
  • Answering, assisting, and directing all incoming telephone calls to appropriate parties in a professional and courteous manner.
  • Performing related clerical work such as typing, filing, and sorting mail distribution.
  • Preparing shipping labels and ordering/executing FedEx and UPS pickups and deliveries.
  • Greeting guests and assisting with their needs in a professional, friendly, hospitable manner.
  • Typing memos, correspondence, reports, and other documents.
  • Performing a variety of clerical duties such as photocopying, faxing, filing, scanning, collating, and administrative support when needed.
  • Participating in LSU Alumni Association events and official functions as needed.
  • Performing other duties and tasks as may be assigned from time to time by the Supervisor.
Requirements Minimum Qualifications
  • Two years of receptionist/front desk experience (or equivalent customer related ability).
  • Proficient in Microsoft Office, specifically Excel, Word and PowerPoint.
  • Administrative office experience.
  • Strong organization skills.
Knowledge, Skills, and Abilities
  • Excellent oral and written communication skills.
  • Problem solving abilities; requires working closely with events, facilities and catering staff to help identify issues and solve them expediently.
  • Customer/Client Focus. Excellent customer relationship skills. High energy, positive attitude.

  • Collaboration skills; teamwork.
