Summary of Position:
Staff front desk greeting visitors and answer phones. Provide clerical support to administrative staff. Provide support to Day, Transportation, Recreation Programs and Administration.
Answer telephones, determine purpose of callers, and forward calls to appropriate personnel or department. Takes and delivers messages or transfers calls to voicemail when appropriate personnel are unavailable. Receive deliveries, and other reception-related duties as needed.
Assist Day, Transportation Directors/Asst. Directors and Recreation Program Manager as needed to 1) Call Vans for pick up as instructed by Program Directors, 2) Act as a room monitor during afternoon transition, 3) Track attendance of participants in programs and know their whereabouts, 4) Contact Staff in field as needed, 5) Be aware of program endings times, 6) Provide information to parents and caregivers regarding van arrival times, and 7) Assist with arrival and dismissal of individuals served.
Other duties as assigned.
Qualifications
Excellent Microsoft Office skills; including Word and Excel.
Basic math skills – adding, subtracting, dividing, and multiplying.
Excellent customer service skills.
Ability to manage multiple tasks is essential.
Current drivers' license and ongoing use of an automobile.
Ability to communicate verbally and in writing.
Ability to operate common office machines (fax, copies, adding machine, computer and postage meter).
Ability to interact with a wide variety of individuals.
Education/Experience
High school education or its equivalent.
2-3 years prior administrative support experience.
