The Receptionist serves as the face and voice of our organization, providing a warm and professional first impression for clients, visitors, and partners. In this role, you will manage front desk responsibilities including answering and directing phone calls, greeting clients, scheduling appointments, processing mail, and supporting the daily administrative needs of the office. You will also assist with handling basic insurance inquiries, ensuring accurate information is relayed to clients and internal team members. This position requires strong communication skills, attention to detail, and the ability to multitask in a fast-paced, client-focused environment. As a key support role, the receptionist helps promote a seamless and efficient experience for both clients and staff.

Greet clients and visitors in a professional, courteous manner and manage front desk activity. Answer, screen, and direct incoming calls; take accurate messages and route them appropriately. Handle incoming and outgoing mail, deliveries, and general correspondence. Respond to basic insurance-related inquiries or route more complex questions to appropriate staff. Assist with administrative tasks such as filing, data entry, and document preparation. Uphold client confidentiality and follow company procedures related to data privacy and compliance. Collaborate with team members to ensure a seamless client service experience.
Strong verbal and written communication skills with a professional and courteous demeanor. Proficient in Microsoft Office, including Outlook, and comfortable learning new office systems. Excellent organizational skills and attention to detail. Ability to manage multiple tasks and prioritize effectively in a fast-paced environment. Demonstrated discretion when handling sensitive or confidential information. Strong customer service orientation and ability to interact professionally with clients, staff, and visitors. Prior experience in a receptionist, administrative, or client-facing role preferred but not required. Willingness to learn insurance-related terminology and procedures.
