Salary: $34,050.91 - $37,192.00 Annually Location : Asheboro, NC Job Type: Full Time Job Number: 202300754 Department: Social Services Opening Date: 08/08/2025 Closing Date: 8/15/2025 5:00 PM Eastern Description Employee independently performs a moderate variety of tasks in the areas of public contact, records, reports, and file maintenance within specific procedural and operational guidelines. All employees in this organizational unit are trained in the following duties. Employees in this role will focus more on duties that require more independence and program/process knowledge, such as background checks and file room duties. Background Checks Build case within Compass environment and assign new or locate existing SIS #s for each client in the referral. Research victim and perpetrator history in Central Registry for each child and adult/caretaker in report. Locate and report criminal history for all children over the age of 16 and adults in the referral. Determine all information pertinent to the cases we receive in order to enable the social worker to do their job more effectively. Make sure the information is correct for the household members. Often the referral requires additional information as to the full names and socials of individuals which is unknown by the reporter which requires additional research within provided systems in comparison to the victim's name and individuals mentioned in the case. File Room Clerk Verifies and updates client's data in existing records in iiReception and eCMS. Creates new records, as necessary, including new file set ups for Protective Services, Foster Care and Adoptions clients. This includes removing children from previous households' files and creating new files for the new families. Cross reference thru various systems such as Laserfiche, NC Fast and eCMS to avoid duplicate records being created. Eliminates outdated or unnecessary materials, destroying them or transferring them to inactive storage according to file maintenance guidelines and/or legal requirements based on state and federal retention policy. Completed FRR/BEER reports and delivers to the correct personnel following state and federal regulations. Works with all types of media to manage, process, report, communicate, and record all types of information including various computer applications and manual filing systems. Receptionist Welcomes on-site visitors, determines nature of business, answers questions about the agency, provide general program information, determines the proper routing for the client, places client in the appropriate work queue, and announces visitors to appropriate personnel as described by current policy. Answers incoming telephone calls, determines purpose of calls, answers questions of a general nature about the agency, and forwards calls to appropriate personnel. Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable. Receives incoming correspondence or communications of various natures including in-person (face-to-face), mail, financial instruments such as checks or cash, phone calls, and electronic media of all types. Produces digital copies of documents, correspondence, and/or communications for processing and retention purposes. Processes documents, correspondence, and/or communications in accordance with established policies and procedures for the area of assignment. Coordinates information within and between units and divisions. Completes forms, reports, correspondence as required by established processes. Maintains and compiles data and prepares statistical reports related to functions performed. Mailroom coordinator Processes outgoing US mail including sealing, weighing, posting, and sorting of all incoming and outgoing mail. Distributing all mail and inter-office mail and materials and ensures that it is delivered to the correct personnel within timely fashion according to established procedures. Ensures appropriate material or data is delivered to the correct employee in a timely fashion according to established procedures. Processes documents, correspondence, and/or communications in accordance with established policies and procedures for the area of assignment. Responsible for maintaining records of all Medicaid and Food and nutrition cards that are undeliverable or mailed to our DSS facility. Scanning specialist Supports day to day requirements of the Laserfiche documentation system. Manages all records in an organized manner to ensure records are easily identifiable and accessible. Scans and verifies that scanned records are accurate and legible compared to the original. Research victim and perpetrator history in NCFAST Completes background checks on Protective Services and Foster Care clients using host on demand software. Accountable for processing searches within guidelines to provide minimum turnaround and high-quality results on background requests. Performs record searches and retrieval of information from various access systems including but not limited to NC Fast, eCMS and Laserfiche. Review and analyze data, identify key information, and entering it into a common format using Adobe Acrobat. Regular attendance and punctuality are essential. The Processing Assistant must be available to agency staff and the public during established hours to ensure critical communications and face-to-face contacts are effectively and timely handled and to ensure communications are routed to the proper operational intake or caseworker. This position will perform other related work as required. Minimum Education and Experience Graduation from high school and demonstrated possession of knowledges, skills and abilities gained through at least two years of office assistant/secretarial experience; or an equivalent combination of training and experience.
