Position Summary: Assures that all business aspects of the dental office function in an orderly and proficient manner to permit an organized and profitable dental practice that offers quality treatment and excellent service to all patients. Essential Functions of the Job:
- Prepares work schedules and assigns personnel for coverage. Oversees, directs, and trains Patient Service Representatives of the Dental Clinic front office.
- Confirms that each provider has the correct number of patients appropriately scheduled each day. Prepares the master schedule to open the appointment scheduling system for providers.
- Reviews all patients encounters same day in EPIC and notes any corrections necessary to the same such as procedures posted, insurance verification, demographic information payment collected, etc.
- Prepares and records the daily encounter productivity for the corresponding dental clinic and reports the tally to the appropriate Departments.
- Ensures that claims are processed, coded, and billed to the proper insurance and that proper charting and documentation is performed, before sending all encounters to the Billing department
- Oversees and instructs the Patient Service Representatives in the process of daily deposits, receipts, and monthly journal reports.
- Answers telephones, routes calls, takes messages and provides routine information to patients or staff. Responds to all telephone inquiries and Call center messages in a timely and courteous manner.
- Provides assistance, guidance and direction to visitors and patients. Calls for an escort when necessary.
- Covers the front desk during times of need.
- Processes referral requests and treatment pre-authorizations for all dental insurances such as Ryan White, PACE and others.
- Oversees the 24 or 48-hour patient appointment reminders and assists in last minute schedule changes and patient rescheduling.
- Works with other departments regarding patient billing, scheduling, and related issues.
- Requests patient charts from the existing patient chart archiving company and works with the organization and medical records during patient chart purging, in lieu of HIS.
- Coordinates the preparation of reports and written documentation, as required by the department, company, state and federal agencies. Completes special projects as requested (e.g. surveys, statistical reports).
- Point of contact for the EPIC system and related training.
Additional Duties and Responsibilities:
- Processes and submits orders to maintain an adequate inventory of forms, clerical supplies, copying paper and equipment. Responsible for equipment and office maintenance and arranges the order of front office supplies.
- Complies with established departmental policies and procedures, objectives, quality assurance program, safety, environmental and infection control standards.
- Enhances professional growth and development through participation in educational programs, current literature, in-service meetings and workshops.
- Attends meetings as required and participates in committees as directed.
- Performs other duties as assigned.
Job Requirements:Education Required (Minimum level of education):
- High School or GED equivalent or 2 years of related experience.
Experience Required (Minimum level of experience):
- 2 years in a dental office setting.
- 1 year of supervisory experience preferred.
Verbal and Written Skills Required to Perform the Job:
- Good verbal and written communication.
- Bi-lingual required (English/Spanish).
Technical Knowledge and Skills Required to Perform the Job:
- Knowledge of Medi-Cal, Medicare, managed care plans and insurance agreements.
- Claims processing, coding and daily operations of dental office, OSHA regulations and safety procedures.
- Ability to prioritize workload and determine priorities.
Equipment Used:
- Personal computer, copy machine, fax, and CRT.
Working Conditions and Physical Requirements:
- Prolong periods of sitting, walking and occasional lifting of up to 10 lbs.
- May be required to work evenings and/or weekends.
- May be required to travel to multiple locations.
