JOB TITLE: PROPOSAL COORDINATOR POSITION: Full-Time JOB OVERVIEWThe Proposal Coordinator works as part of the Business Development team. She/he must have a complete understanding of the proposal process, and will assist in creating and developing quotations and proposals in response to Requests for Proposals (RFPs) and Requests for Quotations (RFQs) and presentations. This position will require the ability to interact with all levels of staff, especially middle to senior management, as well as with the Project Management Office team. We are looking for a candidate who can organize and work with the Proposal Manager to develop strong content and messaging for use in outgoing proposals. The Proposal Coordinator reports to the Proposal Manager. RESPONSIBILITIES • Reviews RFP/RFQ documents so that client requirements are clearly understood • Prepares the compliance matrix/outlines, and communicates with staff regarding RFP/RFQ details, schedules, and action items • Acts as the central point of contact on assigned proposals for scheduling and coordination • Supports the Proposal Manager in leading the proposal kick-off and review color team meetings • Analyzes requirements and ensure that proposals meet requirements and are fully compliant • Coordinates and maintains team documentation efforts for responses to RFPs • Edits and rewrites proposals, including creating templates and boilerplate text • Communicates across teams to get input and meet deadlines • Prepares, assembles, and produces proposals and qualification packages, including formatting • Debriefs team after proposal submission • Files all documents (client documents, proposals, quotes, data calls, etc.) including final submissions, with clear version control • Interacts with all levels of Subject Matter Experts, Canine and corporate staff. Needs to be comfortable with working with senior leadership and executives • Assists with gathering, formatting and maintaining accurate, up-to-date Business Development information, including employee resumes and certifications, past performance descriptions and statistics, certifications and exhibits, and other information for Business Development purposes KNOWLEDGE, SKILLS, AND ABILITIES • 2-5 years' experience in proposal coordination or a related Business Development role • Knowledge of RFP/RFQ process • Experience with and understanding of Shipley Method • Organized multi-tasker who is detail oriented with a strong commitment to quality • Team player with an upbeat attitude and collaborative spirit • Strong communication skills and ability to craft messaging • Experience and strong understanding of the following software programs: Microsoft Office Suite • Bachelor's degree in Marketing, Communications or related field is highly desirable
