The Role As a Proposal Coordinator, you'll manage the development and delivery of pursuit materials-qualifications, proposals, and presentations-ensuring they are accurate, compelling, and aligned with Willmeng's standards. You'll organize content, ensure RFP compliance, coordinate internal contributors, and support the quality of both writing and design. This role combines tactical execution with strategic insight, shaping how the firm is represented to clients and partners. What you will accomplishProposal Development and Compliance
  • Lead RFQ/RFP responses, ensuring full compliance with requirements.
  • Analyze solicitation documents to create compliance checklists and schedules.
  • Support quality control and final delivery through internal coordination and reviews.
  • Draft and customize proposal content, including resumes, project narratives, and firm overviews.
Content and Information Management
  • Manage and update content databases, ensuring accurate and relevant materials.
  • Organize pursuit files and archive deliverables per team protocols.
  • Identify content gaps and recommend updates based on recent pursuits.
  • Use past proposals and firm data to support future submittals.
Visual Communication and Branding
  • Create brand-aligned documents using InDesign, Word, and PowerPoint.
  • Collaborate with graphic designers on specialized visuals.
  • Review and format content for clarity, consistency, and quality.
  • Ensure high standards from draft through final production.
Internal Coordination and Communication
  • Coordinate with project teams, marketing, leadership, and partners to gather and refine content
  • Manage proposal calendars, deadlines, and communications.
  • Lead kickoffs, work sessions, and review meetings.
Time and Workflow Management
  • Manage multiple active proposals, ensuring deadlines and version control.
  • Adapt priorities to meet shifting needs and follow established workflows.
  • Contribute to process improvements where applicable.
Department Contribution
  • Contribute to team meetings, process improvements, and documentation.
  • Support junior staff through guidance and review.
  • Demonstrate leadership in organization, follow-through, and pursuit management.
What we would like you to have
  • Bachelor's degree or equivalent experience.
  • Background in construction, architecture, or engineering.
  • Proficient in Microsoft Office, Outlook, Excel, and Adobe InDesign.
  • Strong organizational, time management, and follow-up skills.
  • Skilled in technical writing and enhancing content with graphics.
  • Works well independently and in teams under tight deadlines.
