About the Role: This position has two key components: a corporate role and a property management role. The corporate role encompasses the management, operations, and staffing for properties within an assigned portfolio, as well as assisting in the management and operation of the commercial property management division. The property management role involves the oversight of assets that may be directly managed or managed by others reporting to this position. Responsibilities are broad to include interface with building ownership and asset management; interface with building tenants; responsibility for the financial performance of assigned properties; and oversight, management and supervision of assigned engineering and administrative staff. This position also has the responsibility to maintain and administer lease agreements and negotiate lease renewals. PRINCIPAL CORPORATE ACCOUNTABILITIES:
- The primary corporate function is overseeing day-to-day management and providing strategic direction for properties within the assigned portfolio
- Manage property management staff of assigned properties, ensuring all are working under common goals and objectives and meeting the needs of ownership and tenants
- Assist in the development of the property management division budget as directed. Per the management agreements, ensure that appropriate management fees and property reimbursements are collected.
- Lead and initiate the development of policies and processes on a division wide basis and follow-up to ensure approved policies are in force
- Function as a resource within the property management division to follow up new business leads
PRINCIPAL PROPERTY MANAGEMENT ACCOUNTABILITIES:Property Management Responsibilities:
Establish and maintain contracts for essential building services within assigned portfolio to include contract cleaning, elevator service, grounds maintenance, security, utility service and others as required Oversee the upkeep of the property (ies), keeping the asset in a clean and marketable condition, make all ordinary repairs and changes within assigned budget, and purchase all supplies and utilities necessary of the proper operation of the property (ies) Maintain relationships and interface with property ownership and asset management to ensure the management of the property is consistent with their strategy Develop and foster positive working relationships with building tenants ensuring prompt response to all complaints and requests from tenants Working with accounting, coordinate the collection all rents and other sums due Owner under terms of the leases Approve invoices related to building operation and submit to appropriate parties for payment Ensure on call engineering coverage is provided as required. Respond to after-hours calls, as needed Identify, evaluate, prioritize and recommend capital expenditures. Upon approval, procure the development of capital repair specifications, select contractor, and complete the improvements. Coordinate construction management projects as requested by Owner. Track tenant improvements and compare against tenant allowance amounts and applicable draws as appropriate. Leasing/Marketing Responsibilities:
Assume the lead role in negotiating lease renewals and lease modifications as required Summarize renewal and modification changes and present to ownership for approval / next steps Keep up to date on market trends, building comps; inform ownership and asset managers of market conditions and trends which may affect assigned properties Ensure that vacant space is in presentable condition for prospective tenant tours Financial Analysis / Budgeting:
Prepare and submit for approval operating budgets for assigned properties including estimated receipts, operating expense, and capital requirements On a monthly basis, complete analytical review of variances from budget and suggest / implement constructive measures to meet (exceed) the budget Monitor rental payments for timeliness and accuracy As required, coordinate owner financial reporting requirements ADDITIONAL RESPONSIBILITIES:
- Provide due diligence support as requested
- Support special projects as assigned
QUALIFICATIONS:Education & Experience:
- Bachelor's degree preferred
- Professional real estate designation for property management (RPA or CPM) required
- Minimum of eight (8) years and preferably ten (10) to fifteen (15) years Property Management or related experience
- Background / employment with property management company with proven record of managing various levels of staff and being able to multi-task with individuals and organizations
Skills & Knowledge:
- Excellent verbal and written communication skills
- Ability to analyze problems, develop and support solutions
- Ability to interact with all levels of personnel
- Ability to work independently in at times a high stress environment
- PC and internet literate with knowledge of Excel and Microsoft word
- Detail oriented
- Highly organized
- Familiarization with MRI or similar property management software is desirable
