Comunilife is looking for experienced Property Managers for its congregate programs in the Bronx and Brooklyn. Under the management of the VP for Real Estate and Asset Management, the Property Manager will be located at and assigned responsibility for the Property. The Property Manager shall collect the rent and is responsible for all aspects of leasing, lease signing and renewals, rent notices, LIHTC compliance, prepare rental reports; supervise and monitor building operations; and coordinate and communicate with the Program Director and staff on Property and facility related issues. The Property Manager is responsible for the overall maintenance and cleanliness of the Property and will supervise the onsite Superintendent and their staff. In the absence of the Superintendent, the Property Manager shall supervise the assigned Porter and Maintenance Specialists. The Property Manager shall work collaboratively with the Assistant Facilities Director and Facilities Department to ensure that maintenance, operations, and physical improvements requiring outside contractors or procurement of materials are completed.
Essential Duties:
Apartment Leasing, Compliance and Rental Income: Collect the rent. Responsible for all aspects of leasing, vacancy management, lease signings and all related functions based on Agency policies and contract requirements. Collect documents from tenants necessary for leases and lease renewals. Coordinate with Benefits and Entitlements Coordinator on benefits and one-shots. Coordinate with Program staff regarding necessary processes such as Case Conferences, as may be required by some funders prior to court actions being initiated. Issue and manage lease violation notices to tenants for the timely management of tenant legal cases. Ensure that rent collection meets established targets. Work closely with the compliance officer on initial leases, tenant income verification, and timely lease renewals.
Analysis and Reporting: Input information into RealPage system as required to keep records up to date. Review reports for monitoring performance of the property. Identify operational issues that require action; review tax credit compliance, and other data to ensure we are maximizing potential income pursuant to our contractual obligations while meeting our mission related goals and commitments. Prepare documents related to the status of the property, assist in preparing reports for Board, funders and investors.
Monitoring and Maintaining Physical Conditions: Responsible for the overall maintenance of the Property. Supervise the onsite Superintendent and their staff in the cleaning, maintenance and care of the Property in accordance with applicable Federal, State and City laws, building codes and regulations, and any special program requirements. Work collaboratively with the Assistant Facilities Director and Facilities Department to ensure that maintenance, operations, and physical improvements requiring outside contractors or procurement of materials are done properly, timely, and in an efficient and cost effective manner. Conduct a weekly “Roof to Cellar” walk thru inspection of the Property, including the exterior and landscaping, and a monthly joint inspection with the Assistant Facilities Director. Participate in Violation management and removal processes per Agency policies. Respond to urgent matters and emergencies during off-hours and weekends, including responding directly in the absence of the Superintendent.
Project Administration, Managing & Reporting: Coordinate marketing of apartments in accordance with governmental marketing plan requirements; lease-up units with potential residents, government agencies and others to ensure that occupancy and financial goals and restrictions are met. Perform residential leasing to meet planned milestones and to finish scheduled activities on time and within budget. Work with Superintendent, facilities management and compliance team as appropriate to resolve operational issues that may arise. Monitor preventive maintenance schedules. Assure compliance with tax credit, bond and other agreements. Provide management team and program team information throughout the term of ownership and when addressing any tax credit-related or post-closing financial or building performance concerns.
