The Property Administrator plays a vital role in enhancing the resident experience by delivering exceptional service. By assisting Property Managers and ensuring that daily tasks are completed promptly, they help create a thriving community. Below is a brief overview of the primary responsibilities.

ESSENTIAL DUTIES

Assist with utility activation, where applicable. Partner with the Utilities department to resolve escalations and outages.

Assist with resolving HOA violations and city citations through partnership with the HOA and Compliance departments.

Assist Property Manager and Renewals Department to achieve resident retention targets.

Schedule all municipal inspections, completing necessary paperwork to ensure compliance with area municipalities such as rental licensing, certificate of occupancy, and point of sale.

Act as primary point of contact for FirstKey Residents. Manage Zendesk tickets, in person office visits, and follow up with all resident contact requests to resolve open inquiries, escalations, and deliver exceptional service.

Conduct a Resident Journey move in touch point. Oversight of Mid-lease touch points to ensure a successful renewal experience

Ensure that rental payments are posted on time and in an efficient manner. Assisting Property Manager with the collection and delinquency efforts.

Assist future residents with the transition into their home by providing necessary guidance, collecting move in funds, ensuring move in orientation is scheduled, sending move-in codes.

Engage in outreach campaigns to residents throughout the duration of their lease term.

WORKING CONDITIONS

Primarily working indoors, office environment.

May sit for several hours at a time.

Prolonged exposure to computer screens.

Repetitive use of hands to operate computers, printers, and copiers.

REQUIRED EDUCATION AND EXPERIENCE

High School Diploma or equivalence

Minimum 1-year experience in administrative or similar role

Strong proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook)

PREFERRED EDUCATION AND EXPERIENCE

Experience using Yardi Voyager or similar property management program

Experience working in property management, real estate or similar industry

Experience working in a fast pace, high-growth company

Proficient in Spanish, both reading and writing

REQUIRED KNOWLEDGE

Customer Service Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.

Clerical Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology.
