Property Administrator

The Property Administrator will perform and/or oversee all office activities of a senior residential community. This role is responsible for maintaining an accurate reporting system of resident accounts and office processes within assigned timelines. The Property Administrator will assist the Executive Director with financial oversight of budget, department declining budgets, NOI, coverage ratio, cash flow, and loss to potential.

Required Experience
  • 2-4 years of experience in property management
  • Ability to write clearly and concisely
  • Effective verbal communication skills with individuals and groups
  • Ability to work collaboratively as part of a team
  • Strong proficiency with Microsoft Office Applications
  • Accounting or financial experience preferred
  • Administrative experience required
  • Knowledge of Yardi
  • Some travel may be required
Primary Responsibilities
  • Assume Executive Director responsibilities when required
  • Manage front office personnel and schedule staff
  • Complete resident billing and process payments
  • Perform month-end closing and ensure timely reporting
  • Maintain property files and vendor certificates
  • Provide professional service to residents
  • Enter lease renewals and move-in/move-out paperwork in Yardi
  • Maintain and reconcile petty cash
  • Process invoices and administer payroll
  • Manage department expenses within budget
  • Oversee office supplies and equipment
  • Maintain vendor relationships and compliance
  • Support team performance and organizational improvement
  • Train front office staff as needed
  • Manage receivables and collections
  • Conduct monthly ledger reviews
  • Collaborate on operational forecasting with 98% accuracy
General Working Conditions

This position requires standing, effective communication, and physical ability to handle documents and equipment. Occasional lifting up to 25 pounds and travel to different locations may be required. The work environment has moderate noise levels.
