Job Description General Summary: The Projects Coordinator supports the efficient operations of the Project Management Office (PMO) by providing administrative, procurement, and coordination support for county projects. This role assists the Director of Project Management, facilitates project documentation, manages smaller-scale projects, and supports the maintenance and use of the County's Project Management Information System(s) (PMIS). All offers of employment are contingent upon the successful completion of pre-employment screening, which includes: •Criminal Background Check - A national and county-level criminal history check. •Employment Verification - Confirmation of previous employment history. •Education Verification - Verification of degrees or certifications, as applicable. •Drug Screening - A 5-panel (or 10-panel, if applicable) drug test to ensure a drug-free workplace. •Motor Vehicle Record (MVR) Check - Required for positions involving operation of a company or personal vehicle for business purposes. •Credit Check - Applicable only for roles with financial responsibilities or access to sensitive financial data (in accordance with applicable laws). All screenings are conducted in compliance with federal, state, and local laws. Candidates will be asked to sign a release authorizing the screenings prior to initiation. Essential Duties: To ensure Brazos County's projects adhere to the triple constraint of scope-cost-time, the Project Specialist will follow the methodology outlined in the Project Management Institute's Project Management Body of Knowledge (PMBOK). These duties include but are not limited to: •Provide administrative and scheduling support to the other members of the Project Management Office, including meeting coordination, correspondence, and preparation of reports. •Create, track, and manage purchase orders and requisitions in accordance with county procurement policies. •Coordinate and manage simple or routine projects independently, ensuring timelines and deliverables are met. •Assist project managers in tracking and updating project schedules, budgets, and documentation. •Index, file, and maintain organized records of project documentation, drawings, and communications in both physical and digital formats. •Support and maintain data integrity in Project Management Information System (PMIS) platforms such as ProCore and ServiceNow. •Assist with onboarding and training staff or contractors on PMIS tools as needed. •Assist with maintaining and updating the departmental website on a monthly basis. •Collaborate with internal departments and external vendors to facilitate project activities and information flow. •Prepare and distribute status reports, meeting agendas, and minutes. •Perform other duties assigned in support of PMO functions. Given: Education Required: BA or BS in Business Administration, Operations Management, Business Analysis, Construction Science, Communications, Public Administration, Project Management or related field or any equivalent combination of education and experience which provides the required knowledge, skills, and abilities. Preferred: MA or MS in Business Administration, Operations Management, Business Analysis, Construction Science, Communications, Public Administration, Project Management or related field. Experience Required: Two years of experience in Project Management, Business Administration, Operations Management, Business Analysis, Construction Science, Communications, Public Administration, or related field. Preferred: Two years of experience in Project Management, Business Administration, Operations Management, Business Analysis, Construction Science, Communications, Public Administration, or related field. Certificates, Licenses, Registrations Required: Valid Class C State of Texas Driver's License Preferred: PMI Project Management Professional (PMP), PMI Certified Associate in Project Management (CAPM) Physical Demands Typical: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Must be able to manage tasks and deadlines in a detail-oriented environment. Advanced Competency with Microsoft Office 365 applications, including Teams, Word, Excel, Outlook, etc., are a plus. Must possess strong organizational and communication skills. Experience working in County and/or municipal government is a plus. History of becoming proficient and optimizing processes within software platforms is desirable.
