Work Shifts 8:00 A.M - 4:00 P.M Job Description Purpose: Under the supervision of the Chief Quality Officer (CQO) office, the Senior Project Manager in Quality & Safety is responsible for coordinating and executing the management of specific quality and safety improvement projects within the hospital. This role focuses on driving projects related to quality, safety, and operational improvements, ensuring alignment with hospital strategic goals. The Senior Project Manager supports the execution of projects from inception to completion, working closely with various departments to deliver on quality and safety goals while minimizing operational disruptions. Specific Duties and Responsibilities: The Project Manager Level II is charged with and responsible for: The Project Manager Level II will work closely with the CQO office to assume the following responsibilities:
Project Lifecycle Management: o Coordinate and manage specific quality and safety improvement projects from start to finish, including planning, execution, and delivery of project outcomes. o Develop and implement operational processes, templates, and procedures that support project activities related to quality and safety initiatives. o Ensure that project objectives are aligned with the hospital's strategic goals and quality priorities. o Contribute to the preparation of reports such as the Quality Assurance Performance Improvement (QAPI) Board Report, providing updates on progress. Project/Program Execution: o Utilize project management methodologies to ensure that specific quality and safety projects are organized, planned, and executed efficiently. o Monitor the day-to-day activities of projects, ensuring timely completion of deliverables and resolving issues as they arise. o Maintain regular communication with stakeholders to keep them informed of project progress, milestones, and challenges. Collaboration with Key Stakeholders: o Work with departmental leaders, clinical teams, and other key stakeholders to define and refine project objectives, timelines, and resource allocation for each quality and safety project. o Coordinate project tasks across various teams to ensure that each department is aligned with the project's goals and timelines. o Facilitate communication between internal teams and external partners to ensure projects are delivered smoothly and successfully. Support for Operational Improvements: o Focus on delivering targeted improvements within specific areas of quality and safety, such as clinical processes, patient safety, and workflow efficiencies. o Develop and implement processes for tracking project progress, ensuring that milestones are met and deliverables are on schedule. o Work with teams to identify bottlenecks and inefficiencies, proposing solutions for continuous improvement within the scope of each project. Training & Implementation Support: o Provide support for training programs and educational sessions related to the implementation of quality and safety projects, ensuring that staff understand and can execute new processes. o Assist in the rollout of new tools, systems, or protocols as part of quality improvement initiatives, ensuring proper adoption and integration across departments. Performance Monitoring & Reporting: o Establish and track performance metrics for each project to ensure that objectives are being met. o Regularly report on the status of projects to leadership, highlighting progress, risks, and potential delays. Budget Administration & Resource Management: o Oversee the budget administration for quality and safety projects, ensuring that allocated funds are utilized appropriately and that spending aligns with project goals. o Collaborate with hospital finance teams to create and track project budgets, ensuring accurate financial reporting and adherence to budget constraints. o Monitor project expenditures, identify potential budget discrepancies, and work to resolve any issues that may impact project funding. o Provide regular updates on the financial status of quality and safety projects to the CQO office, ensuring transparency and accountability in the use of hospital resources. Problem-Solving & Risk Management: o Identify and resolve issues or risks that arise during the execution of quality and safety projects, minimizing disruptions to the hospital's daily operations. o Develop contingency plans for addressing potential delays or obstacles to ensure project success. o Work proactively to anticipate challenges and ensure smooth project delivery. Regulatory and Compliance Support: o Ensure that quality and safety improvement projects comply with hospital policies, regulations, and accreditation standards. o Support the preparation of documentation needed for regulatory and accreditation reviews, ensuring that projects are in alignment with required standards. Continuous Improvement: o Engage in ongoing process analysis to identify areas for improvement in the implementation of quality and safety projects. o Make recommendations for future project modifications or improvements based on evaluation and feedback. Other Duties as Assigned: o Perform other tasks related to the execution and support of quality and safety improvement projects as directed by the CQO office or hospital leadership. Minimum Qualifications A baccalaureate degree from an accredited college or university in engineering, architecture, construction management or in an approved related program; and Five years of responsible capital program implementation-related experience, including at least two years in administration, management, or expediting substantial phases of capital projects; and Ability to handle complex, allied, technical and commercial problems related to various project management functions with independent judgment, tact, and initiative. Related experience may be substituted on a basis of two years of experience to one year of education. Graduate education may be substituted for up to one year of experience. Department Preferences - Strong organizational and time management skills to manage multiple projects and deadlines.
