About the Role:

This role will be instrumental in managing processes internal to the Project Management department, which will include coordinating and follow up on task completion status and data collection from multiple departments. This resource will also assist our teams in managing their project and purchase order information as well as reporting.

Accountable For:

The Project administrator supports the Project Management department in managing internal processes, data gathering, as well as documenting and following up on action items. They will coordinate the initiation and close out of procurement requests as well as technical service bulletins. Additionally, this resource will track the demand for procuring long lead items by coordinating with our projects, engineering and procurement departments.

Responsibilities

  • Coordinate and assist in getting purchase requests entered and closed out with appropriate documentation.
  • Coordinate the Technical Service Bulleting process. Confirm all TSBs are properly entered and tracked in Jira and that all action items are followed up on as well as running weekly follow up meetings.
  • Assist with the creation and management of Project reports which may include getting updated project data from the PM's and Power BI as well as updating Power Point presentations.
  • Assist Project Managers with collecting and updating project data in our project management system.
  • Coordinating meetings with both internal and external stakeholders.
  • Take on other small to medium projects as assigned.
  • Must be proficient with Excel and Power Point as well as be able to quickly learn and navigate new systems quickly.
  • Experience with Jira, NetSuite and Microsoft Project and/or Project Online would be helpful.
  • Must have excellent verbal and written communication skills.

​Education and Experience

  • Associate's degree or equivalent in business or related field required.
  • Bachelor's degree preferred.
  • Minimum of 2 years' experience.

Travel

  • Overnight/North America: Less than 10%

Working Conditions

  • Office Environment - Must be able to remain in a stationary position 50% of the time and occasionally move about inside the office to access file cabinets, office machinery, etc. Required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading. May be required to exert up to 25 pounds of force occasionally to lift, carry, push, pull or otherwise move objects, including the human body.
  • Factory - The worker may be subject to hazards. Includes a variety of physical conditions, such as proximity to moving mechanical parts, vibration, moving vehicles, electrical current, exposure to temperature changes or exposure to chemicals. While performing the duties of this job, the employee may be exposed to fumes, airborne particles, odors, dust, mists, and gases. The noise level in the work environment can be loud. Required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; visual inspection involving small defects, small parts, and/or operation of machines (including inspection); using measurement devices; and/or assembly or fabrication parts at distances close to the eyes. Machinery operation requires the use of safety equipment to include but not limited to eye safety glasses, hearing protectors, work boots, and lab coats. May be required to exert up to 50 pounds of force occasionally to lift, carry, push, pull or otherwise move objects, including the human body.
  • Customer/Partner Locations – Employee may visit customer or partner locations that may be comprised of office, manufacturing floor, laboratory environments and construction sites depending on the location and reason for visit.
