Program Secretary- Per Diem- Potential to Transition to Full Time

Horizon Health is seeking a program secretary to work on our behavioral health unit at Great Plains Hospital in Elk City, OK. The Program Secretary is responsible for the Behavioral Health Program's daily administrative duties and providing assistance to the Behavioral Health Program Director. The Program Secretary also has responsibility for performing Human Resources related duties such as applicant tracking and onboarding. This position will start at per diem, as needed day shift weekday hours, and is highly likely to convert into full time, day shift, weekday hours.

Responsibilities include:

  • Answering the phone, responding to all requests for information
  • Scheduling unit assessments, meetings and appointments as appropriate
  • Attending unit and hospital meetings as directed
  • As assigned, greeting visitors, patients, and their families coming to the unit
  • Identifying areas needing improvement and utilizing the facility performance improvement process
  • Actively participating in department processes as requested
  • Managing all CQI+ paperwork, submission, data entry, communication and audits
  • Collecting required documents for PAF/On-Board processing
  • Ensuring that the most current form or version is utilized
  • Liaising with hospital in obtaining general hospital orientation scheduling, ensuring all orientation is completed in a timely manner
  • Coordinating with supervisors and corporate HR during the pre/post-employment process as it relates to employee required processes and documentation
  • Ensuring new hire forms are completed/received in a timely manner, and in accordance with regulatory and policy requirements
  • Coordinating receipt of I-9 forms to meet USCIS requirements
  • Creating new hire/rehire personnel files, filing employee documents, and ensuring NSC HR has a copy of all appropriate documents for the employees' corporate personnel files
  • Maintaining new hire packet documents and distributing as required
  • Responding to all intake calls; recording information on intake form to pass on to the Clinical Access Coordinator
  • Managing HBIPS data auditing and collection including monthly audits of patient charts (EMR) and data entry into MHO database
  • Reporting to director any potential shortcomings found to the Program Director
  • Keeping materials organized and available with required information regarding unit activities
  • Tracking all training including Core Competencies, SECURE, HIPPA, etc.
  • Keeping current license information on file for licensed employees
  • Inputting daily census into HorizonPlus
  • Entering required data into HorizonPlus system and generating monthly reports to track and trend referral, admission and discharge data
  • Utilizing data to complete program's key statistical reports and generating reports as needed for the SVPO, VPCE, program director and client hospital leadership when requested
  • Utilization Review: initiating pre-certification calls for private insurance and managed Medicare and Medicaid plans
  • Providing concurrent reviews throughout the patient's stay
  • Tracking utilization review outcomes
  • Managing insurance appeal process and working with hospital Denial Management Coordinator
  • Preparing payroll documents including time sheets, Verification of Hours, exemption reports, PAFs
  • Keeping all records organized and available to the Program Director as needed
  • Performing daily time clock adjustments
  • Ensuring facility is safe and reporting deficiencies to the Program Director
  • Ensuring confidentiality of all information encountered
  • Aiding in the admission process by coordinating with business and admitting offices
  • Gathering relevant descriptive and financial information as needed and routing information to appropriate personnel
  • Striving to make productive use of time through careful coordination of assigned tasks, setting priorities, and reducing non-essential interruptions in order to be responsive to the needs of the Units and the Program Director
  • Promoting and developing positive, professional interaction with peers, senior management, and staff through effective written and verbal communication, listening, and feedback in times of organizational change
  • Reviewing newly admitted patient accounts for eligibility and authorization daily
  • Correcting issues identified and reporting errors to the Program Director
  • Assisting in submission of reports and requests for documents from various regulatory agencies; re: PA Dept. of Health, CAP and Joint Commission
  • Preparing and disseminating monthly reports and completing required follow up on activities on behalf of the Director
  • Preparing and submitting all operational tasks/documentation (census report, PIORS) as required by the corporate offices
  • Regularly collecting data to provide input and/or feedback to appropriate customers/suppliers (i.e., teams, supervisors, co-workers, vendors, nursing agencies) to improve work
  • Assisting the Program Director in maintaining the budget for the Behavioral Health Administration's cost center
  • Managing all aspects of HBIPS data auditing and collection including monthly audit of patient charts (EMR) and data entry into MHO database
  • Reporting any concerns to the Program Director
  • Maintaining schedule for filing court paperwork and hearings
  • Working closely with court personnel to maintain good relationships
  • Reviewing and evaluating all incoming invoices and expense reports to verify accuracy before forwarding to the appropriate recipient
  • Classifying, sorting and filing correspondence, records and other documents
  • Ordering all office supplies
  • Overseeing all maintenance on office related equipment
  • Facilitating special events as needed
  • Other duties as assigned

Qualifications:

  • Office experience required
  • Great organizational skills
  • Experience with insurance authorizations is a plus
  • High School Diploma or GED required
  • 1-5 years of secretary or office experience
