POSITION SUMMARY
The Program Manager at Bostrom plays a pivotal role in enhancing client satisfaction and retention by supporting strategic goals through the management of member-focused services, development of educational programming, and execution of meetings and events. Working closely with one or more Account Executives (AEs), this role is responsible for budget planning and maintenance for assigned programs, ensuring alignment with client objectives and financial parameters.
POSITION RESPONSIBILITIES
Membership and Client Services
- Provide assistance to members by responding accurately to inquiries regarding policy and procedures for membership, applications, renewal billing, publications, continuing education products/credits, meeting registration, and new membership sales.
- Oversee member programs and services, ensuring timely completion of tasks by self and team.
- Design and maintain online information systems, including membership databases and event registration software.
- Create materials and manage website and social media content related to membership in collaboration with the marketing team.
- Maintain an understanding of the associations bylaws and policies.
Committee Management
- Serve as the staff liaison to committees, guiding them to achieve objectives that support the associations mission.
- Relay logistical and strategic information to committee members and ensure timely distribution of meeting materials. Schedule, conduct, and manage committee meetings, including developing agendas and taking minutes.
- Oversee committee initiatives, manage timelines and responsibilities, and identify opportunities for process improvements.
- Assist the Account Executive in coordinating Board meetings and preparing formal meeting minutes.
Educational and Certification Programming
- Oversee educational programming, including certification programming and continuing education approval where applicable, to ensure high standards and quality meeting member needs.
- Guide and recommend methods to incorporate Adult Learning Theory into educational design and format.
- Secure and manage program faculty, and work with Educational or Certification Committees to meet program goals and deadlines.
Event Support
- Proactively lead and support members and clients at virtual and in-person events, including tasks like minute-taking and event logistics.
- Create agendas and content for membership and client-related events, such as webinars, board meetings, and educational conferences.
- Coordinate with speakers and guests, organizing bios, AV requirements, and learning objectives.
- Manage all strategic and operational activities for assigned events to ensure smooth execution.
Budget and Vendor Management
- Make sound decisions within client scope.
- Manage relationships with key client vendors.
- Develop and distribute RFPs as needed and oversee vendor contracts from initiation to invoice payment.
- Perform other duties as assigned.
Requirements:
- Bachelors degree in business administration, communications, event management, or related field, or equivalent experience. CMP or CAE certification is a plus.
- 35 years of association or management experience preferred.
- Strong critical thinking, problem-solving, and communication skills.
- Knowledge of customer databases, learning management systems, project management software, and Microsoft Office.
- Professional demeanor with excellent customer service, organizational, and attention-to-detail skills.
- Integrity, ability to perform under pressure, multitask, and collaborate across departments.
WORK ENVIRONMENT AND PHYSICAL DEMANDS
Office environment with light noise, frequent interruptions. Mostly sitting, computing, talking/hearing. Lifting boxes (10-25 lbs), bending required. OSHA Category III: not at risk for exposure to infectious materials.
SCHEDULE AND TRAVEL
Full-time, typically MondayFriday, 8 hours/day. May require more than 40 hours/week. Up to 10% travel domestically or internationally.
