Max Pay - Depends on experience: $52,000.00 USD Annual Job Description: The College Assistant Migrant Program (CAMP) in the School of Transborder Studies is seeking a Program Coordinator to assist the Principal Investigator and Project Director to meet the budgetary, personnel, and organizational needs and objectives of the Project and to coordinate Project activities to ensure optimum efficiency and compliance with appropriate policies, procedures, and specifications. The CAMP Project is a federally-funded college access and retention program for the children of Arizona's migrant seasonal farmworkers (MSFW). The activities of the project include: outreach and recruitment; FAFSA, college, and scholarship application assistance; financial awards, financial literacy workshops, and financial aid counseling; Bienvenida orientation program; academic advising, tutoring, educational programming; peer coaching, cultural activities, academic mentoring, internship and community service placements, leadership training, and family engagement activities. Successful individuals in this position have excellent bilingual (English/Spanish) communication and customer service skills - both oral and written as well as a strong background in program management. They have the ability to plan, organize, and implement to successful completion complex, multi-pronged initiatives. Other characteristics that provide the framework for success are knowledge of budget management methods and techniques, sensitivity to characteristics and needs of low-income, first-generation, under-represented, and/or MSFW students, and a passion about MSFW student success. This is a student-facing position with an In-person schedule 8:00 a.m. - 5:00 p.m. Monday - Friday; evenings and weekends will be required occasionally. Work location is primarily at the ASU Tempe Campus, with travel to off campus/ out of state events and other ASU campuses as needed.
Essential Duties: - Oversee all participant and project records; maintain databases and record keeping/filing systems to ensure compliance with grant regulations.
- Assesses student financial needs and oversees award processes.
- Execute necessary travel arrangements, reservations and itineraries for ASU CAMP; determines and prepares background materials needed.
- Monitors or oversees the monitoring of a variety of account expenditures, maintains and reconciliation for various accounts, advises and/or determines which expenditures are within the budget guide management of irregularities and proceeds with corrective action.
- Manages the processing of travel reimbursements, purchase of supplies, services, and equipment and other purchasing documents in accordance with established procurement and financial policies.
- Coordinates the processing of personnel hiring, and maintains personnel files consistent with University policies and practices.
- Participate and assist Project Director in preparation of periodic reports, financial statements and records on project activities, progress, status or other special reports for management or outside agencies including the Annual Performance Report to the U.S. Department of Education.
- Assists Project Director in coordinating project activities with inter-related activities of other programs, units or staff to ensure optimum efficiency and compliance with appropriate policies, procedures and specifications.
- Consult with and advise staff, students and others to provide technical advice, problem solving assistance, answers to questions about project goals, procedures, services and policy interpretation; referrals to appropriate project staff.
- Coordinate logistics, scheduling, participant communications, and post-event activities for workshops, meetings, events or symposiums.
- Meet regularly with ASU CAMP director and staff; participate in on-going planning and evaluation activities.
- Interact and maintain liaison with students, faculty, staff and outside/community agencies in facilitating project objectives.
- Periodically represent ASU CAMP Scholars Project at community and educational events as necessary.
- Perform other duties as assigned that support the goals of the project.
Desired Qualifications: - Graduate degree in relevant field, graduate-level coursework, or at least 3 years of experience working with underrepresented and/or first-generation students.
- Experience with and/or sensitivity to characteristics and needs of MSFW and their rural communities.
- Knowledge of ASU academic structure and organization, degree programs and graduation requirements.
- Demonstrated student service orientation including experience in interpreting student needs and determining when referral to other resources is needed.
- Demonstrated knowledge of principles, practices, procedures and methods of evidence-based retention strategies.
- Experience in designing presentation materials and giving oral presentations in group settings.
- Skill in organizing work of self, coordinating activities and establishing priorities.
- Skill in establishing and maintaining effective working relationships.
- Skill in effective bilingual (English/Spanish) communication, both verbal and written.
Working Environment: - Activities are generally performed in a regular, climate-controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work.
- Visual acuity and manual dexterity associated with daily use of desktop computer, bending, stooping, reaching and lifting to 20 pounds.
- Ability to clearly communicate verbally, read, and write, in English and Spanish, to perform essential duties.
- Regular use of standard office equipment including but not limited to computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals.
- Ability to work effectively within a complex structured team.
- Works under the direction of the Project Director.
Minimum Qualifications: Bachelor's degree and three (3) years of experience appropriate to the area of assignment/field; OR, Any equivalent combination of experience and/or training from which comparable knowledge, skills and abilities have been achieved.
Driving Requirement: This position may require driving. Employee must possess a valid US Driver's license of the appropriate class and required endorsements throughout employment.
