Description This position is responsible for providing support and services to program participants to help ensure they achieve their academic goals, connecting them with program and university resources, provide supplemental advising, and coordinate event planning and social media connections/updates. Additional duties include providing data entry services to maintain up-to-date records of program participants files for annual reporting purposes, as well as performing administrative support duties for the department. *This position is a grant-funded position. Continuation of employment in this position is contingent upon funding by the sponsoring agency.* Essential Job Duties
  • Assist with recruiting program-eligible students;
  • Perform administrative support duties for the department including scheduling appointments, answering phones, taking messages, etc.;
  • Greet department visitors and program participants in a professional and courteous manner;
  • Assist supervisor and other departmental staff in the receipt/review processes for program participant applications;
  • Collect, compile, and present program participant data in support of program evaluation activities;
  • Enter and maintain accurate student files of program participants for annual reporting;
  • Create and maintain program files, process forms, maintain signature logs and files for program participants, perform special projects upon request, etc.;
  • Assist students in connecting to campus resources, when needed;
  • Assist supervisor and departmental staff in developing, organizing, and presenting workshops/classes to program participants;
  • Assist with the summer bridge program;
  • Refer and assist students in connecting with available tutors and scheduling tutoring sessions;
  • Work with departmental staff to develop and continually-evolve recruiting/marketing strategies to target program-eligible student populations;
  • Facilitate, with departmental staff, planning/organizing events, workshops, and student engagement activities;
  • Assist with maintaining accurate records of purchases and student participation in services/activities;
  • Research possible destinations for events for program participants to enhance leadership skills and educational/cultural experiences, locally as well as out of town;
  • Assist with planning and scheduling program events/trips i.e. destinations, quotes, lodging reservations, meals, transportation, purchase order requests, reimbursement, etc., including creating initial quotes/estimates of same;
  • Maintain and update program/department website, social media accounts, and event calendar;
  • Provide supplemental academic support to program participants when needed;
  • Maintain confidentiality of information;
  • Perform all other duties as assigned.
Minimum Qualifications
  • Bachelor's degree is required;
  • Minimum of one year of experience in a related office setting is required;
  • Work experience in higher education is preferred.
  • Preference will be given to candidates with similar backgrounds to program-eligible populations who may have overcome barriers similar to those confronting participants.
KNOWLEDGE, SKILLS, AND ABILITIES:
  • Knowledge of the academic, social, and cultural needs of high-risk, minority, and disadvantaged students;
  • Knowledge of assessment techniques for the evaluation of program objectives;
  • Knowledge of data collection and analysis techniques;
  • Knowledge of and ability to follow university, sponsoring agency, and department of education policies and procedures;
  • Knowledge of current technologies, specifically Microsoft office (365) applications;
  • Ability to monitor fiscal compliance and prepare detailed program budget reports;
  • Ability to prepare and deliver effective verbal presentations;
  • Ability to communicate effectively, both verbally and written, and to relate to others in a professional, helpful manner;
  • Ability to effectively interact with and establish/maintain relationships with an increasingly diverse array of faculty, staff, students, administrators, parents, visitors, and the general public;
  • Ability to relate diverse populations and to maintain composure when faced with difficult situations;
  • Ability to multi-task and organize, prioritize, and follow multiple projects and tasks through to completion, with attention to detail and little direct supervision;
  • Ability to effectively identify and resolve problems and to maintain strict confidentiality related to sensitive information;
  • Ability to analyze problems, identify solutions, and take appropriate action using independent judgment and decision-making processes;
  • Ability to discern potential barriers to students qualified to participate in the program;
  • Working knowledge of student success strategies, academic advising, tutoring, and academic support strategies;
  • Working knowledge of university procedures for financial management, student recruitment, and accessing financial aid, academic advisement, and student support services;
  • Strong data and information management skills, with emphasis on distance learning tools;
  • Knowledge of current social media outlets, marketing, and best practices in utilizing social media outlets for marketing and information sharing purposes;
  • Ability to travel, and to work early mornings, evenings, and/or weekends, upon request.
