Job Description :

CORE is seeking an experienced and highly motivated Program Administrator to support programs financial and reporting management within CORE's program portfolio. Main Responsibilities:

      Grant Management Support:
    • Works closely with finance, accounting, development and programs' Senior Manager for Grants and Contracts, to manage financial and grant management support to ongoing programs.
    • Supports the Team Lead in planning and running project meetings, ensuring the right departments are included and action points are followed up.
    • Contract follow-up:
    • Coordinate that contractual obligations and reporting deadlines are known and met by Program, MEAL, Development and Finance teams.
    • When any issue is identified in meeting deliverables in the given timeframe and budget, work with relevant staff on potential solutions that would meet donor rules.
    • Liaise with donor, in collaboration with relevant leadership, when required to address issues, submit reports, file amendments, etc.
    • Reporting:
    • Review narrative reports, reflecting the progress and status of projects in a transparent, timely and professional manner, and provide drafting support as needed.
    • As needed submit reports to donor and/or donor submission platforms and act as primary focal point for donor - implementation teams communications.
    • Ensure ad hoc requests from donors are addressed in partnership with the program lead and support teams.
    • Ensure all files are audit ready and stored in CORE's Salesforce - SharePoint Integration Area
    • Ensure all program data is kept up to date in Salesforce Program Management Module.
    • Financial Oversight:
    • Support budget creation, management, and monitoring of specific projects and overall response program
    • Support staffing planning and budgeting
    • Maintain control of PCard purchases and reconciliation
    • Produce and submit monthly burn rate reports
    • Manage analysis of program spending to project deliverables
    • Support oversight of CORE funds burn in domestic response, track any issues, and follow up with teams on next steps
    • Partner / Stakeholder Follow-up:
    • Liaise with partners when required to develop relevant sub/grant agreements and amendment in close coordination with Area Director, programs and support teams and CORE HQ Programs Department.
    • Help coordinate meetings and communications with key stakeholders, including partners, donors, and local authorities.

Qualifications:
    • Bachelor's degree in international relations, project management, finance and accounting, or related field.
Experience:
    • Experience working in domestic programs and humanitarian response
    • Proven experience in domestic disaster response
    • Proven ability to manage and analyze program budgets, spending, and project deliverables

    • Outstanding ability to communicate effectively with and across program, administrative and operational functions

    • Able to handle and complete multiple tasks simultaneously, work productively in a dynamic team environment, with accuracy, and attention to detail.
    • Knowledge of Microsoft Office suite
    • Qualitative and quantitative analytical capabilities
$81,000 - $87,000 a year In accordance with CA law, the expected pay range for this CA position is posted with this position. The actual compensation will be determined based on experience and other factors permitted by law.
