About the role:

As a Production Coordinator, you will serve in a foundational role within Gartner's BTI (Business and Technology Insights) Studio. This role is crucial for driving publishing efficiency, preparing content for the editing and proofreading stages. You will be responsible for collaborating with internal stakeholders and ensuring that all content adheres to our preflight checklist requirements, such as proper formatting, correct metadata and attachments and other checks. Within this role, you will be tasked with accurately documenting project details in our content management systems. You will manage mailboxes, update trackers and perform various administrative tasks in accordance with Gartner standards. This position requires strong lateral problem-solving abilities, excellent communication skills, and the capacity to quickly understand requirements and consistently deliver high-quality work within set timelines, while managing a high volume of tasks each day.

What you will do:

  • Process and format all research documents to the prescribed standards (such as restyling text, creating hyperlinks, generating alt. text for graphics, ensuring compliance with specific guidance, and, overall, readying content for our editors and proofreaders).
  • Work closely with various stakeholders to ensure they have the information and materials they require to meet production deadlines.
  • Manage a steady volume of work, maintaining high levels of personal productivity and escalating problems for timely resolution.
  • Provide detailed production reporting as required by your leadership team.
  • Serve as a liaison between the support team & IT for system troubleshooting and updates, providing transparency on process and workflow challenges in order to continuously enhance our systems.
  • Provide special project support as needed (including but not limited to template creation, library & asset up-keep, and training administration).
  • Escalate project and assignment risks as workflow demands change.
  • Manage different mailboxes/projects and action/respond to requests within the required turnaround times.
  • Apply and follow best practices for all projects, underpinned by fact-based data, and support change management initiatives.
  • Work with peers, leadership and other partners to identify efficiencies, solve queries, and track the status of and ensure timely delivery of work.

What you will need:

  • Bachelor's Degree or equivalent experience required
  • Minimum of 0-2 years of administration experience or equivalent experience in a desktop publishing environment.
  • Well-versed in the use of Microsoft Office tools, specifically Outlook, Word, Excel, and PowerPoint.
  • Well-versed in the use of Google's full suite of applications, specifically Google Docs, Sheets and Slides.
  • Strong collaboration and communication skills (verbal and written).
  • Ability to work in a fast-paced environment and multitask.
  • Client-service focus with expert mindset balance.
  • Total ownership mindset (TOM).
  • Ability to provide input to ensure administrative processes and standards are consistent and effective.
  • Attention to detail and ability to keep tasks structured and organized, with a high level of accuracy when following instructions.

Gartner believes in fair and equitable pay. A reasonable estimate of the base salary range for this role is 41,000 USD - 55,000 USD. Please note that actual salaries may vary within the range, or be above or below the range, based on factors including, but not limited to, education, training, experience, professional achievement, business need, and location. In addition to base salary, employees will participate in either an annual bonus plan based on company and individual performance, or a role-based, uncapped sales incentive plan.
