Job Description: The Procurement Specialist - Services role at Ocean State Job Lot (“OSJL” and “Company”) is responsible for supporting, developing and implementing plans with regard to service agreements, supply order management and contract administration. This role administers and coordinates all contractual aspects of assigned programs to ensure that contractual obligations are met in a timely and cost effective manner. The role also provides general support within the Property Development Department, including aspects of procurement, service agreement rollouts, and general Accounts Payable functions. Key Responsibilities:
- Partner with Store Maintenance and Property Management in kickoff meetings.
- Lead onboarding process, including, but not limited to, providing support to contractors and managing Contractor Setup in the Integrated Workplace Management System.
- Gather data, including delivering surveys to contractors and suppliers, in order to respond to requests for information and requests for proposals.
- Assist Procurement Management to create and execute strategic procurement plans.
- Verify contractor and supplier information and documentation is current and accurate.
- Source potential suppliers and service providers and review with Procurement Management and other members of Property Development.
- Assess potential contractors and suppliers and make proposal recommendations, including highlighting any issues with scope or terms of service, legal concerns and risks.
- Under supervision of Procurement Management, prepare the final bid package for final approval, along with all reference checks, points of negotiation and terms.
- Properly perform vendor onboarding including, but not limited to, obtaining certificates of insurance and signed agreements that meet OSJL requirements. Ensure that each new vendor obtains proper support for any necessary training to utilize OSJL's work order management system.
- Support and prepare regular reports on the status of vendor performance and general analytics as needed.
- Support proper invoicing in accordance with contractual payment terms and OSJL requirements.
- Maintain a computer database for the contract management system.
- Develop and maintain OSJL's internal webpage and contractor mapping for Property Development.
- Perform other Property Development related projects and tasks as needed.
Qualifications:
- 2 or more years of experience with vendor negotiation, billing and accounting is preferred.
- Bachelor's degree in a related field is preferred.
- Knowledge of basic procurement functions and financial review.
- Proficient in Microsoft Office and Google platform (i.e., Sites, Slides, Drive, Docs, Sheets).
Work Environment:
- Works primarily in a climate controlled environment with minimal safety and health hazard potential.
- Works in an office environment remaining stationary at a desk, table, or computer workstation for extended periods of time. Frequently uses near vision for reading and computer tasks.
- Hybrid work option: Some work may be completed outside of the Company locations, with at least three (3) days a week in the Corporate Office. The role is responsible for setting up a professional and ergonomically safe work environment and to be available during working hours. The salary range for this position is $24.00 - $27.00 per hour.
