General Job Summary:

Under the general direction of the Director of Hospital Services or designee, the Process Assurance Coordinator provides strategic insight to the Hospital Services Department about organ, tissue, and eye donation performance at DSA hospitals. The task is completed through review, validation, and further exploration of data obtained from internal systems (TN), hospital EMRs, and other sources on a near real-time and continuous basis to assess and report regulatory and hospital compliance and adherence to best practices.

Education and Experience:

  • Bachelor's degree from an accredited college or university with major coursework in business analytics, medicine, or science-related fields.
  • 2-5 years of experience in a medical/health-related field or equivalent expertise.
  • Organ donation experience.
  • Medical auditing, performance improvement, and/or regulatory affairs experience.
  • Required Skills/Abilities:

    • Excellent verbal and written communication skills.
    • Great organizational skills and attention to detail.
    • Strong ability to analyze data, identify trends, and draw meaningful conclusions to inform process improvements.
    • Exceptional time management skills with a proven ability to work autonomously, prioritize concurrent tasks, and meet deadlines.
    • Proficient with relevant data analysis, reporting, and documentation software tools.
    • Ability to create and present reports to drive process improvement.
    • Ability to travel to and between Infinite Legacy offices.
    • Ability to navigate electronic medical records systems to evaluate and collect data.

    Responsibilities:

  • Conduct regular audits of operational processes to identify deviations from standards, non-conformances, and incomplete data, document findings, and initiate corrective actions.
  • Ensure adherence to industry regulations, hospital, and internal policies, including documentation and recordkeeping.
  • Collect and analyze process data to identify trends and areas for improvement, generating reports for management.
  • Investigate deviations to determine causes, develop preventative measures, and implement corrective actions using Root Cause Analysis or other PI tools.
  • Train staff on death record review, quality procedures, process improvement methodologies, and compliance requirements.
  • Collaborate with teams across departments to identify process improvements and communicate process adherence concerns.
  • Convey quality concerns, findings, and recommendations effectively to stakeholders.
  • Serve as a liaison for Quality Systems and Data Intelligence for data collection and reporting.
  • Perform other duties as assigned.
  • Other Duties:

  • Document non-conformances in the electronic quality management system and participate in non-conformance meetings.
  • Support projects aligned with the Strategic Plan and organizational mission, vision, and values.
  • Participate in quality improvement initiatives and serve as a Quality Mentor.
  • Maintain access to Electronic Health Record systems for hospitals within Infinite Legacy's donor service area.
  • Assist with interdepartmental training and participate in organizational and departmental training programs.
  • Attend staff meetings and contribute to communication and improvement efforts.
  • Prepare routine correspondence, including confidential materials.
  • Contribute to SOP development, revision, and review in collaboration with leadership.
  • Assist in reviewing and maintaining QS documents and paperwork.
  • Record departmental meeting minutes.
