Job Description :
The Principal Office Assistant is responsible for the provision of a wide range of clerical support services assisting in the day to day administrative operation of a department including facilitating communication between the public, the appropriate board member and town staff, maintenance of department records, and the issuance of department licenses or permits etc. Employee is required to perform all similar or related duties.Essential Functions:The essential functions or duties listed below are intended only as illustrations of the various type of work that may be performed. Provides counter and telephone assistance to the public, providing routine information and service as necessary, assisting walk ins, researching and answering inquiries, and providing directions as necessary.2. Performs a wide variety of clerical and secretarial functions including data entry into department software systems, preparation of correspondence, opening and distributing mail, maintaining department files and records, ordering office supplies, filing, preparation of correspondence etc.3. Assists other departmental staff in the performance of their clerical duties as necessary.4. Processes accounts payable/receivable and payroll for the department5. Assists in the preparation of periodic monthly and annual department reportsEssential Functions:The essential functions or duties listed below are intended only as illustrations of the various type of work that may be performed. Maintains financial records for the Shellfish and Conservation departments.2. Assists in the administration of both the Shellfish and Conservation department operating budgets3. Supervises temporary clerical support staff.4. Schedules hearings for the Conservation Commission including the preparation and distribution of meeting agendas, as well as legal advertisements.5. Assists consultant with grants awarded to the department; manages local and state fee and funding structures.6. Prepares Department Request for Proposals and the administration of the bid process for the use of conservation lands and cranberry bog leases.7. Compiles financial information and calculates figures for operation and capital budgets.Recommended Minimum Qualifications:Education and Experience: Associates degree or equivalent with one to three- (1-3) years of related work experience; or any equivalent combination of education, training and experience which provides the required knowledge, skills and abilities to perform the essential functions of the job.
