The role you'll contribute:

The Preboarding Specialist is responsible for candidates or workforce member file audits, securing documentation to ensure regulatory compliance in all areas of federal, state, local, regulatory agencies, accrediting bodies and organizational policy and procedure requirements. Works as a liaison for preboarding, workforce partners and organizational team members to obtain documentation and regulatory compliance at onboarding or/and annual compliance.

The value you'll bring to the team:

  • Responsible for independently managing the candidate preboarding process and ensures candidates and/or Workforce Member completes preboarding/pre-employment compliance documentation.
  • Effectively communicates with either Talent Acquisition recruiters, leaders, facility HR, workforce partners or sponsoring managers on candidate status through the preboarding process.
  • Candidates received from the recruitment team will be audited to ensure the integrity of the pending employee record including but not limited to job data and position attributes, offer pay rates, additional incentives and prior employment / SDA history.
  • Prepares and conducts routine and final file audits to review and ensure compliance with AH policies and procedures, regulatory, and legal requirements. Identifies gaps and provides process improvements.
  • Interacts with candidates and workforce members in a timely manner assisting with the scheduling of required employee health and local HR onboarding appointments, providing reminders to candidates and follow up with local HR.
  • Ensures candidates meet the requirements of the job description, reviewing license, certification, education and job / department specific regulatory requirements. Monitors, tracks, and communicates compliance infractions for timely follow-up.
  • Guides candidates and workforce partners through the preboarding process with clear concise communication and instruction, attending to barriers in a respectful manner, and upholding the service standards of the organization.
  • Ensures primary source verification on all licenses, professional certifications and background report. As well as validating employment eligibility with state regulatory bodies and/or registries, mitigating all associated risks to patients and the organization.
  • Ensures compliance with federal, state and local regulations as well as local facility accreditation agencies.
  • Enforces adherence to requirements and advises management on needed actions
  • Hires the candidate or enters workforce member in organizational databases/software systems after all contingencies have been met, performing additional hire related manual duties where necessary.
  • Maintains relationships with candidates and/or workforce member, facility HR, and any necessary leadership to ensure all is in place for a successful first day.
  • Uploads required documents to organizational databases/software systems ensuring the file is accurate and complete.
  • Candidates' license and (or) PSV information is added to the new hire's electronic employee record to comply with liability standards including accurate expiration dates.
  • Attends to assigned cases within the appropriate timeline, interacting with other departments, facility HR, Hiring Managers or Sponsoring Managers and Employees with due respect and diligence.
  • Provides support gathering candidates and or workforce member files and documents requested during announced or unannounced audits/surveys. Ensures compliance with federal, state and local regulations as well as local facility accreditation agencies.
  • Prioritizes and organizes assigned responsibilities effectively with accurate results and meeting deadlines provided. Assists in special projects. Maintains a broad knowledge of company policies.
  • Always acts diligently to protect the personal information of either candidates, employees or workforce members.
